A Facilities Coordinator manages the daily operations, maintenance, of a physical workspace, ensuring it's functional, efficient, by handling repairs, vendor relations, inventory, space allocation, and emergency planning to support a productive environment for staff. They are the point person for everything from fixing a leaky faucet to coordinating large renovations, ensuring all building systems, supplies, and staff needs are met smoothly. Key Responsibilities: Maintenance & Repairs: Schedule preventative maintenance, respond to urgent issues (HVAC, plumbing, alarms), and coordinate repairs for equipment and building systems. Vendor & Contractor Management: Liaise with and manage third-party suppliers, negotiate contracts, and ensure timely service delivery. Health & Safety: Enforce safety standards, manage fire safety, handle waste disposal, and ensure compliance with regulations. Logistics & Space Planning: Coordinate office moves, renovations, event setups, and manage the allocation of office and parking space. Inventory & Supplies: Monitor and restock essential office, kitchen, and facility supplies. Budgeting & Reporting: Track facility expenses, manage invoices, and report on operational costs. Security: Oversee security systems (cameras, alarms) and access control. Minimum requirements: Strong organizational skills and attention to detail. Ability to multitask and prioritize effectively. Knowledge of property systems, safety regulations, and basic office equipment. Excellent communication and vendor negotiation skills. Problem-solving and decision-making abilities, especially during emergencies.
