They partner with licensed providers and pharmacies across multiple states to deliver high-touch, concierge-level care focused on long-term successnot one-time prescriptions. This business is built on memberships, retention, and patient relationships, and operations is the backbone of everything they do. About the position: We are hiring an Operations Manager to own the full patient and revenue engine for our GLP-1 program. We are looking for someone who has a proven track record of running and scaling a revenue-driven operation whether in telehealth, GLP-1, e-commerce, subscriptions, dropshipping, or sales-led businesses where conversion, fulfillment, billing, and retention all mattered. You will operate inside HubSpot (CRM, pipelines, follow-ups) and Vagaro (memberships, billing, scheduling) and be accountable for turning marketing into revenueand revenue into long-term patients. Responsibilities: Lead Flow & Sales Execution Ensure 100% of leads are contacted, worked, and properly followed up in HubSpot Make sure all consultations are scheduled, attended, and converted Hold the sales team accountable to follow-ups, response times, and task completion Maintain a minimum 35% consult-to-enrollment conversion rate Identify where leads stall or drop and fix the process Customer Retention & Lifetime Value Own patient retention with a target of 8 months LTV per patient Track pauses, cancellations, and failed reorders Build and manage retention workflows inside HubSpot and Vagaro Ensure patients receive consistent follow-ups, education, and reorder reminders Vagaro (Memberships, Billing & Scheduling) Manage all GLP-1 memberships, billing, upgrades, pauses, and cancellations Ensure every patient is on the correct plan and billed correctly Set up programs, discounts, and promotions Audit accounts to prevent revenue leakage Manage consults, follow-ups, and check-in appointments HubSpot CRM Ownership Maintain clean, accurate lead and patient pipelines Ensure every lead and patient has tasks and next steps Monitor conversion, follow-ups, and pipeline health Keep the sales and care teams accountable to CRM usage Provider & Pharmacy Coordination Track NP clearances and prescription submissions Monitor pharmacy fulfillment and shipping timelines Resolve delays and escalate issues before they impact patients Process, Team & Reporting Create and maintain SOPs and workflows Train team members on systems and process Monitor KPIs including leads, conversion, churn, LTV, and MRR Provide weekly and monthly operational reporting This role is for a true operator, not a coordinator.
