File Quality Administrator We are looking for a detail-oriented and experienced legal support individual to take on the role of File Quality Administrator within our Road Accident Fund (RAF) and medical malpractice departments. The role focuses on file audits, workflow compliance, operational checks, reporting, and staff guidance, ensuring that internal procedures and quality standards are consistently followed across all branches. This position is ideal for someone with strong RAF knowledge and a solid background in legal administration, file management, and compliance processes. Key Responsibilities File Auditing Conduct regular audits of RAF claim files to ensure compliance with internal procedures. Monitor file management across all stages of the RAF workflow. Verify accurate, timeous updates on Legal Suite. Review files that fall outside expected time frames and escalate findings where necessary. Operational Audits Perform onsite office audits across the firms three branches. Identify workflow gaps, procedural lapses, or inefficiencies. Recommend practical corrective actions to improve consistency and performance. Reporting & Follow-Up Compile monthly audit reports and statistical summaries. Track previous audit findings to ensure corrective measures have been implemented. Escalate repeated or serious concerns to senior management. Training & Support Assist in updating and maintaining internal procedure manuals. Provide guidance and training to staff on compliance, workflow expectations, and file standards. Collaborate with branch managers and file handlers to promote consistency across offices. Qualifications & Experience Minimum 5 years experience in a law firm in a supporting capacity (e.g., legal secretary, paralegal, litigation assistant). Strong understanding of the RAF claims process, including litigation stages. Familiarity with RAF documents and timelines (prescription, Form 1, Form 4, PAJA, summons, sheriffs returns, capital and cost payments, etc.). Proficiency in Legal Suite (required). Skills & Attributes Exceptional attention to detail and structured work approach. High level of professionalism, integrity, and discretion. Strong written and verbal communication skills. Ability to manage multiple audits and timelines independently. Confident, constructive interpersonal skills with the ability to engage staff across branches. Results-driven and committed to improving workflows and maintaining standards. Travel Requirements Monthly travel to Pretoria or Cape Town (mostly Pretoria). Drivers licence preferable, but not essential (Uber acceptable). Remuneration Market-related salary: R12 000 R16 000, depending on experience. Higher salary may be considered for a highly suitable candidate. Travel and subsistence allowances provided. Additional Information Flexi-time or part-time arrangements may be considered, provided the candidate is available for required monthly travel.
