Job Description

Main Purpose of the Job We are looking for a highly organised and detail-driven Operations, Procurement & Planning Coordinator to manage supply chain activities, procurement, and production scheduling. The successful candidate will play a key role in ensuring operational efficiency, accurate planning, and on-time delivery of products and repairs to our clients. Responsibilities Identify material and supply requirements through regular MRP (Material Requirements Planning) runs. Prepare and process purchase requisitions and purchase orders in line with company policy. Obtain and evaluate three supplier quotations for non-standard items and negotiate best pricing and delivery terms. Coordinate with finance for COD supplier payments and ensure all supporting documentation is submitted. Onboard new suppliers by completing vendor application and credit forms prior to system setup. Follow up on supplier deliveries, track ETA updates, and evaluate supplier performance for continuous improvement. Verify received stock, ensure accurate pricing, and complete Goods Received Notes (GRN) on the system. Maintain and update the Sales & Operations Tracker weekly. Review sales orders, plan material availability, and schedule production or dispatch jobs accordingly. Conduct weekly Sales & Operations review meetings, record minutes, and communicate updates to relevant departments. Prepare and issue job pick lists to stores daily, ensuring that scheduled jobs are completed and properly recorded. Monitor order progress, reschedule delayed jobs, and ensure all documentation is filed and shared systematically. Track repair orders, from client quotation through supplier repair and final invoicing. Liaise with 3rd-party repair suppliers for quotations, approvals, and turnaround tracking. Keep the repair tracker updated with all stages of the repair cycle. Ensure clients are invoiced promptly once repairs are completed and returned. Matric (Grade 12) with a Diploma or Certificate in Supply Chain, Operations, or Procurement (advantageous). 35 years experience in procurement, materials planning, or operations coordination. Strong understanding of MRP, S&OP, and inventory management processes. Proficient in MS Office (Excel, Google Sheets) and experience with ERP systems (e.g., Palladium, Syspro, or similar)
