Its a purpose-driven pathway for experienced administrators in nonprofit community building, training management, and project support who are seeking a fresh new way to make a difference. ___________________________________________________________ Job Summary: We are seeking a proactive and detail-oriented Administrator to support the smooth and efficient functioning of the Training Institute and its affiliated non-profits daily operations. This is a remote role suited for someone who is highly organized, a strong communicator, and confident working independently. As the first point of contact for the organization, you will provide vital administrative support to the Director and wider team, ensuring effective communication, coordination of training programs and dialogues, and accurate data management. Key Responsibilities: · Act as the first point of contact for all email and general inquiries · Manage social media calendar and posting · Oversee administrative aspects of training programs and dialogue sessions · Assist facilitators with booking and setting up dialogue sessions via Caspio and Zoom · Generate and send invoices; track payments and maintain accurate financial records · Maintain and update organizational records, databases, and contact lists using Database (Caspio) · Support project coordination and internal communication · Liaise, support and guide our community of facilitators and volunteers · Liaise, schedule and document internal and external meetings · Maintain and improve digital filing systems and assist with document preparation · Assist with internal research, analysis, reporting, surveys, or donor documentation as needed · Liaise with team members to ensure the smooth flow of information and task completion · Proposal writing Skills & Qualifications: Minimum Requirements: · High school diploma · At least 2 years of experience in an administrative or virtual assistant role in any setting · Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams, OneDrive, etc.) · Experience using or willingness to learn platforms like Caspio, Canva, Zoom, Teams, · Excellent written and verbal communication skills · Strong time-management and organizational skills · Problem-solving mindset and ability to adapt in a dynamic, remote team environment · Warm, caring, professional and diligent Preferred Qualifications (not requirement): · Associate or Bachelors degree in Business Administration, Office Management, Human Resources, Communication, or related field · Familiarity with online collaboration tools Personal Attributes: · Ability to work independently and manage multiple priorities · High attention to detail · Integrity and commitment to the mission and values of the organization · Team player, high EQ, kind, professional, and approachable demeanor · Problem solver with solution focused mindset Beneficial/ advantageous: · Experience in supervising/ guiding others · Strategic and planning skills · Experience in managing customer relationships · Research skills
