About the Company: An established IT company based in Parktown, Johannesburg, is seeking a highly organized and proactive Executive Personal Assistant to provide professional support to two key Directors. The successful candidate will play a vital role in enabling the executives to operate efficiently by managing their schedules, communication, and administrative tasks. Purpose of the Role: The Executive Personal Assistant will provide comprehensive administrative and operational support to the companys Executives. This role is pivotal to ensuring the smooth running of the executives daily activities and includes responsibilities such as diary management, correspondence handling, meeting coordination, documentation, and project-related administrative tasks. Minimum Requirements: · Matric with Mathematics essential (Matric Certificate must be submitted with the application) · Relevant tertiary qualification or completed business administration/office management courses are advantageous · Minimum 5 years experience in a similar Executive Assistant or Personal Assistant role supporting senior management or C-level executives · Advanced MS Office skills (Word, Excel, PowerPoint, Outlook) · Excellent verbal and written communication skills · Own transport and a valid drivers license · Strong numerical and data-handling ability · Exceptional time management, attention to detail, and organizational skills · Ability to multitask and manage competing priorities effectively · Experience within the Information Technology sector would be beneficial, but is not essential Key Responsibilities: · Manage complex calendars, schedule meetings, and coordinate appointments for the Executives · Draft, proofread, and send professional correspondence on behalf of the Executives · Prepare documentation and logistics for meetings, including agendas, minutes, and follow-up actions · Handle incoming calls and correspondence, ensuring messages are prioritized and addressed efficiently · Review and prioritize emails, responding where appropriate on behalf of the Executives · Arrange and coordinate travel itineraries, accommodation, and related logistics · Maintain accurate records, files, and documentation for the Executives · Provide administrative assistance in support of company projects and initiatives · Collaborate with internal departments to ensure the smooth execution of Executive directives · Support PMO (Project Management Office) activities, including project planning, prioritization, and progress tracking · Maintain confidentiality and handle sensitive information with discretion Personal Attributes: · Professional, polished, and trustworthy demeanor · Strong interpersonal skills and the ability to work with individuals at all levels · High level of initiative and problem-solving capability · Committed to delivering excellence with a strong sense of responsibility · Adaptable and resourceful in a dynamic work environment
