Job Description
We are seeking a
Senior Administrative Assistant
to support a
Sr Director Firstline+
and additional
Sr Directors (HR Team)
during a maternity leave coverage. This role operates in a fast-paced, results-oriented corporate environment and requires a highly organized professional who can manage multiple executive priorities with discretion and precision.
The ideal candidate brings strong experience supporting senior-level leaders, excels in complex calendar management, and demonstrates exceptional communication and organizational skills. This is an
on-site role (traditional hybrid – Fridays remote)
with a
strong possibility of extension . Previous company experience is
required .
Key Responsibilities
Complex calendar management
using Outlook (high-volume, multi-time-zone scheduling)
Coordinate executive meetings, leadership sessions, and cross-functional engagements
Book and manage
travel arrangements , itineraries, and documentation
Plan and execute
team meetings, offsites, and events
(including budgeting, catering, agendas, logistics)
Prepare and process
expense reports, purchase orders (POs), and invoice tracking
Assist with
budget tracking and expense monitoring
Create and format high-quality
PowerPoint/Keynote presentations
and documents
Draft and edit executive communications; manage distribution lists
Maintain organizational charts and team documentation
Coordinate workspace or department moves with stakeholders
Support special projects and track deadlines
Serve as the main administrative point of contact for the team
Provide coverage for additional leaders as needed
Handle
highly confidential and sensitive information
Required Qualifications
Bachelor’s degree in Business or related field (or equivalent experience)
Minimum
3+ years of administrative experience
supporting senior leaders
Previous company experience required
Advanced proficiency in
Microsoft Outlook (complex calendaring), PowerPoint, Word, and Excel
Experience using
Zoom and MS Teams
Proven experience supporting
senior-level executives and diverse stakeholders
Strong event planning and executive travel coordination experience
Ability to manage multiple priorities in a
fast-paced, high-ambiguity environment
Strong attention to detail and follow-through
Ability to maintain confidentiality
Willingness to occasionally work outside core business hours
