Job Description

Perform specialized, diverse work activities and oversee larger complex buildings for a school or central unit. Coordinate solutions, working independently, solely supporting the operations, maintenance, repair, upkeep, inventory tracking, and refurbishing activities related to the physical environment and building systems of a complex facility. These facilities are defined as a building posing greater regulatory and/or safety risk impact to the community or non-laboratory, multiple buildings with broader scopes of responsibility. This is an individual contributor role.

Be the primary point of contact for all maintenance, security, contracts, as well as communicating with building occupants. When LBRE or SUFMO proposes to perform maintenance which will disrupt operations of the building, gather information from occupants and advocate for changes to schedule, scope, or methodology to reduce impacts. Assess and provide input to the LBRE contracts team about the quality of ongoing services such as custodial and elevator maintenance.

Receive, investigate, and address ServiceNow, email, and verbal reports of building problems.

Identify and implement building improvements, such as small lab changes, office furniture projects and recarpeting. Depending on the scope of the improvement, the FS3 may involve key stakeholders in decision-making, work with Associate Director to ensure appropriate programmatic direction, and advocate to manager or LBRE for funding as needed. The FS3 also provides input to associate director for budgeting to address building improvements. To implement the changes, the FS3 may oversee the work of suppliers, contractors, LBRE or other service providers.

Analyze building problems over time to identify measures to reduce recurrence. For instance, analyze data from ServiceNow requests to determine if restroom fixtures or temperature controls in one building are more problematic than others. Or, as another example: if a fire alarm system monitoring point repeatedly has false alarms, determine if there is a cause in the space or if the sensor is going bad.

Devise procedures or other measures to prevent problems from occurring. For example, develop a concrete maintenance program to correct damage at an early stage as waiting tends to increase the cost and disruption.

Perform regular visual inspections of the building and of building systems.

Create inspection protocols and data systems, coordinating efforts and other FS3s within SoE and getting manager approval for new programs.

Analyze the inspection results in combination with ServiceNow work requests and occupant feedback to determine if there are predictive or preventative measures that should be implemented. For example,

Work with building occupants, LBRE, health & safety, SoE Facilities management, and others as relevant to identify measures to maintain and improve the aesthetic appearance, functionality, and sustainability of spaces. For example, ensure that furniture in common areas meets the needs of the occupants (replace, repair or clean as needed).

Assess inspections and experiences to identify security concerns, propose and implement solutions to the department and to the Associate Director of Operations Work and support building projects with our Facilities Planning & Engineer team, in conjunction with Building departments, SEQ District facilities, Department of Project Management and Outside contractors etc. Develop plans for small lab and office projects, obtain funding and oversee the plan to completion. Ensure that building is operated in compliance with fire code requirements. Accompany Fire Marshalโ€™s Office (SUFMO) on fire inspections and address any findings. Using knowledge of the fire code, identify questionable findings and discuss with SUFMO. Before fire inspection, conduct pre-inspection to minimize findings. Analyze historical findings for repeat issues and identify and address root causes of non-compliance.
