Position Summary
The Administrative Assistant serves as the primary point of contact for the Chesapeake office, ensuring smooth daily operations by managing administrative functions and supporting the Accounting team with accounts receivable (AR) and accounts payable (AP) tasks.
Key Responsibilities
Manage all front-office administrative duties, including answering and directing phone calls
Greet and assist visitors in a professional and welcoming manner
Schedule meetings, coordinate calendars, and maintain office scheduling systems
Maintain organized office records and documentation
Assist the Accounts Receivable (AR) team with data entry, invoice processing, and follow-up tasks
Support the Accounts Payable (AP) team with invoice coding, vendor communications, and payment processing assistance
Provide general clerical support to management and staff as needed
Ensure the office environment remains organized and efficient
Qualifications
High school diploma or equivalent required; associate degree preferred
Previous administrative or office support experience preferred
Basic understanding of accounting principles (AR/AP experience a plus)
Proficiency in Microsoft Office (Word, Excel, Outlook)
Experience with Navy security access submittal requirements
Experience with timekeeping
Basic knowledge of Microsoft Business Central
