Our client a well-known law firm is seeking a highly organized, detail-oriented Legal Secretary to join the Seattle office. This role provides comprehensive administrative and legal support to attorneys and collaborates closely with staff within the Attorney Resource Center (ARC). The ideal candidate thrives in a fast-paced environment, demonstrates exceptional professionalism, and maintains the highest level of confidentiality.
Key Responsibilities:
Prepare, edit, and proofread legal documents and correspondence, including contracts, agreements, summons, complaints, motions, subpoenas, and other filings.
Coordinate workflow for attorneys on a regular basis and manage assignments within the Attorney Resource Center (ARC).
Collaborate in person with attorneys and staff to ensure efficient workflow and high-quality work product.
Edit client prebills as directed by attorneys and process client billing in accordance with firm policies, partnering with the Billing Department as needed.
Open new client matters; complete client label requests; request on-site and off-site files through the Information Governance Department.
Arrange attorney travel through the firm’s designated travel provider.
Input, edit, and finalize attorney time entries in the firm’s timekeeping system.
Handle and retrieve physical files and fulfill other records-related requests.
Assist with organizing, photocopying, scanning, and managing hard copy and electronic documents; ensure proper electronic filing under correct client matter numbers.
Coordinate meetings, including reserving conference rooms, ordering catering, arranging IT equipment (laptops, projectors, A/V), sending Outlook invitations, and greeting clients.
Schedule appointments, answer phones professionally, take messages, update attorney contact lists, provide transcription/dictation, and prepare routine correspondence.
Provide notary services, as needed (for those with an active notary public license).
Organize and distribute incoming mail.
Enter and process expenses and invoices through the firm’s accounts payable system.
Ensure proper indexing and filing of original legal documents and deposition transcripts.
Convert documents between formats (PDF to Word, Word to PDF).
Create and edit PowerPoint presentations and Excel spreadsheets.
Qualifications:
High school diploma required; bachelor’s degree or associate degree preferred.
Typing speed of 60+ words per minute.
Proficiency with firm software systems (e.g., iManage, Emburse, DTE Time Entry) or similar platforms.
Advanced skills in Microsoft Word, Excel, PowerPoint, Outlook, databases, and internet research.
Strong knowledge of legal terminology, court procedures, and electronic court filing systems.
Ability to work effectively in a fast-paced environment with strong attention to detail.
Excellent written and verbal communication skills.
Strong organizational, administrative, and problem-solving abilities.
Ability to prioritize tasks, manage time efficiently, and multitask with urgency.
High level of discretion and ability to maintain confidentiality.
Demonstrated reliability, dependability, and initiative.
