The Position: An Accounts Payable Coordinator manages the financial aspects of projects by overseeing the accounts payable process for three entities. This role involves processing invoices, managing vendor relationships, and ensuring accurate and timely payments to suppliers and subcontractors.

Responsibilities:

Receives and distributes invoices to internal staff amongst Gainsborough and Texas Outhouse. 2.

Tracks and records credit card expenses incurred by the organization. Ensures credit card statements are approved by the appropriate executive before end of month close. 3.

Verifies and processes daily expense reports from employees. 4.

Ensures expenses are properly categorized and accounted for. 5.

Tracks and follows up on outstanding payments. 6.

Maintains billing records and payment receipts. 7.

Monitors AP inbox email and credit card alerts. 8.

Enters new hires and terminations into company credit card systems. 9.

Processes monthly manifest tickets and inter-company invoices. 10.

Maintains accurate and organized financial records. 11.

Enters financial transactions into QuickBooks or spreadsheets. 12.

Monitors receipts and credit card statements for the office. Updates purchase order log including invoices, credit card receipts, quotes, bills of lading, freights, and proof of delivery per PO number.

Additional Responsibilities Updates job knowledge by participating in educational opportunities. Collaborates with Sales, Customer Service and Dispatch to resolve issues and discrepancies. Assists with close out activities to support the Accounting Team. Uploads positive pay checks as required into Cadence Bank Portal. All other duties as assigned. This position has no supervisory responsibilities.

Are you a fit? High School or general education degree (GED) required. One-year certificate from college or technical school preferred. Associate degree or equivalent from two-year college or technical school preferred. Bachelor’s degree in business or accounting from four-year college or university preferred. Certified Accounts Payable Professional (CAPP) certification preferred. Up to 2 years of related experience or training required. General understanding of principles, practices, and procedures of accounting. Experience with Microsoft Office software. Experience in QuickBooks Computer literacy Detail Orientation Problem Solving
