Warner Parks Family Dental, the private family owned (not corporate) dental practice of Dr. Bob Wilson is seeking a Dental Operations and Insurance Manager and strong “all around” administrative task master to join their busy and growing practice. This is a full-time, permanent position. Enjoy the best-of-all-worlds schedule with a 4-day workweek and alternating four-day weekends! You’ll work in partnership with our three other talented team members in your role, after training, to complete the administrative operations of our highly reputable practice. We are seeking an experienced, organized, and motivated Dental Operations and Insurance Manager to oversee front office operations and ensure a seamless, professional, and welcoming experience for every patient — from first phone call to final payment.

Position Overview

The Operations and Insurance Manager serves as the primary point of contact for patients while overseeing daily front office operations and managing all aspects of insurance verification, insurance billing, treatment coordination, treatment schedule optimization, and financial communication in an out-of-network practice. Higher wage will directly correlate with willingness to also manage other office operations such as training any potential new office staff, OSHA and HIPAA compliance, staff credential tracking and record keeping (BLS, CE), back office maintenance schedules, paying office expenses, maintaining office expenses in KPI ranges, revenue cycle management (production, collections, and accounts receivables), schedules and runs regular meetings, HR tasks. The main objective is front office and insurance management. The later mentioned tasks, are secondary that qualify for the higher pay range.

You will work in partnership with our clinical and administrative team to support the operational success and growth of the practice.

Key Responsibilities

Patient Experience & Communication

Answer incoming calls and engage new patient inquiries with warmth and professionalism Schedule appointments to optimize productivity and flow Confirm appointments and manage reactivation efforts Present treatment plans and clearly review estimated patient portions Explain insurance benefits, limitations, deductibles, maximums, waiting periods, missing tooth clauses, and eligibility Communicate financial policies clearly and collect payments Handle billing inquiries and coordinate payment arrangements Bridge referrals and coordinate care with specialty offices Track new patients, referrals, and lab cases

Insurance & Financial Coordination

Verify insurance benefits (with strong knowledge of out-of-network plans) Submit dental claims with proper documentation via Vyne Submit and track pre-treatment estimates Monitor accounts receivable and aging reports Post EFTs, insurance checks, patient payments, and adjustments Issue reimbursement checks and credit card refunds when necessary Run End-of-Day reports Maintain accurate documentation in Eaglesoft

Operations & Leadership

Oversee daily front desk operations Support and cross-train team members (including front desk assistant) Run periodic productivity and financial reports Maintain accurate patient records and documentation Identify opportunities to improve systems and support practice growth Model professionalism, efficiency, and team collaboration

Technology & Systems

Experience preferred with:

Eaglesoft (practice management) RevenueWell (patient communication and paperwork) Vyne (digital claims and payments)

Strong technical aptitude and comfort learning new systems is essential.

Qualifications

Minimum 3+ years of dental front office experience (preferred) Strong knowledge of dental insurance, particularly out-of-network benefits Experience with practice management software (Eaglesoft preferred) Leadership experience preferred Stable work history Excellent written and verbal communication skills Highly organized with strong project management ability Fast, accurate keyboarding and strong documentation skills Ability to multitask in a fast-paced environment Professional discretion with sensitive information

Bachelor’s degree in Business, Healthcare Administration, Communications, Psychology, or related field is preferred. Equivalent professional experience demonstrating excellence will be considered.
