Role Summary
The Office Manager plays a key role in ensuring the smooth and efficient running of Asperitas’ Amsterdam HQ. This position is responsible for maintaining a well-organised, professional, and welcoming workplace while providing practical and administrative support to internal teams.
Acting as a central point of contact for office-related matters, the Office Manager helps create a positive workplace experience, supports daily operations, and works closely with internal teams and external suppliers to keep the office functioning seamlessly.
Key Responsibilities
Office Operations & Facilities Management
Oversee day-to-day office operations and ensure a well-functioning workspace
Manage office supplies, inventory, and vendor relationships
Coordinate maintenance, repairs, and facility needs with building management
Supervise office cleanliness, organisation, and overall workplace environment
Handle deliveries, mail, and courier services
Ensure health and safety standards and office procedures are maintained
Reception & Workplace Experience
Manage visitor reception, including welcoming guests and managing building access
Act as the primary point of contact for office-related inquiries
Maintain a professional and friendly front-of-house presence
Ensure meeting rooms are prepared, well-stocked, and properly maintained
Meetings, Scheduling & Administrative Support
Support scheduling for internal meetings, workshops, and team activities
Manage meeting room bookings and logistics
Assist with travel coordination (flights, accommodation, transport where applicable)
Provide basic administrative support to teams as needed
Assist Finance with basic bookkeeping-related documentation and coordination
Documentation & Digital Workplace
Manage office-related documentation, public folders, and shared resources
Maintain organised filing systems (both digital and physical)
Ensure key office information and guidelines are up to date and accessible
Culture, Events & Team Support
Support workplace culture initiatives and employee engagement activities
Assist with planning and coordination of team events, social activities, and all-hands meetings
Help prepare for company meetings, workshops, and gatherings
Work closely with internal teams to support a collaborative and positive work environment
Requirements
2+ years experience in office management, workplace coordination, or a similar administrative role
Strong multitasking, organisational, and time-management skills
Excellent communication and interpersonal skills
Proactive, energetic, and hands-on approach
Ability to work independently while collaborating across teams
Comfortable working in a fast-paced, dynamic environment
Tools & Systems
Proficiency with Microsoft Outlook, SharePoint, Teams, and scheduling systems
Comfortable learning and using new digital workplace tools

Fully office-based at Asperitas Amsterdam HQ
