Overview
Purpose of the job
The Management Assistant provides support to the different VP’s and their respective teams and proactively helps them to complete projects and achieve their goals within an international environment. As the Management Assistant you have strong organizational and communications skills and will manage a wide range of support functions in a fast pace and multicultural environment. You keep a clear overview in the different tasks and responsibilities and can prioritize accordingly. You are the energetic professional who doesn’t mind wearing multiple hats and doesn’t mind jumping in to assist your colleagues in areas outside of your primary responsibilities. You have a close work relationship with two other assistants and the HR Operations & Facility Manager. You ensure the smooth running of the office and maintain and help to improve company procedures and day-to-day operation.
Key responsibilities
Manage agenda, schedules, e-mails (if asked) and coordinate travel & logistics
Manage complex travel itineraries & visa applications through various systems, time zones and complex agendas for the VP’s and respective teams (flight and hotel bookings, visa appointments and obtaining the right visa and health documents)
Provide general administrative support, including providing copies, maintaining files and updating shared files on the server
Manage expense reports of VP’s
Organize logistics of the various meetings, workshops and department events
Prepare materials and presentations for meetings and set up rooms as needed (incl catering orders, name cards, and other meeting related materials)
Hospitality services and general support to visitors
Compose minutes of the governance meetings and send them out for review within 24 hours
Update distribution lists in Outlook of the respective teams
Update various general information documents
Manage profiles in MY ID Travel system and maintain the staff travel list
Manage locker use and business card requests
Coordinate the issuance of parking passes and manage parking policy
Monitor office and pantry supplies and place orders
Liaise with catering and facility vendors
Oversee adherence to office space (appearance) and caretaking of plants
Monitor office occupancy and desk availability
Coordinate renewals office badges
Department/Management specific (ad hoc) tasks
Your profile
Required Skills, Knowledge & Experience
Bachelor level in Secretarial education, along with a minimum of 5 years’ experience in a Management Assistant role or equivalent
You must be living in the Netherlands
Previous experience working in the aviation industry would be an advantage
Eager to work in a dynamic (office) environment
Excellent time management skills and ability to multi-task and prioritize work
Proactive, hands-on as well as results and solution driven
A creative mind with the professional ability to suggest improvements
Excellent written and verbal communication in both English and Dutch
Reliable and very accurate with patience and professionalism
Strong competence in Microsoft Office and video conferencing
Intercultural sensitivity / Multicultural awareness
Understanding of the importance of confidentiality and discretion: you will often learn of confidential matters
