MAIN PURPOSE OF JOB:
The Corporate Legal Administrator is responsible for supporting the company’s governance, compliance, and operational reporting functions. This role oversees the management and maintenance of corporate entities and DBAs, ensure accurate tracking and reporting of OSHA incidents and logs, and administers various third-party portals critical to business operations. The position requires strong organizational skills, attention to detail, and the ability to coordinate across departments to ensure data accuracy, regulatory compliance, and timely completion of reporting requirements.
KEY RESPONSIBILITIES:
Coordinating with sales consultants, employees, and HR in incident and accident reporting
Recording, reporting, and maintaining OSHA logs
Coordinating with insurer and TPA carrier on claims and management of claims
Reporting significant claims, including any trends, to US management and Group Risk Function
General administration for monopolistic state workers compensation insurance, including assisting with renewal, coding inquiries and completion of yearly audits
Developing standard regular reporting to US management, US Risk Committee, and Group Risk Function on US health and safety risks, and issues with remediation plans
Issues and provides renewals of Certificates of Insurance in line with contractual requirements
Engages with external registration service on entity registrations and works with various departments to ensure brands are registered
Responsible for ensuring third-party compliance portals, such as ISNet, Avetta, and others are updated and in compliance
Supporting the legal team in administrative functions (e.g., assisting with agenda, minutes, follow-up, actions), including but not limited to, US subsidiary board meetings, US Risk Committee, and team engagement
Performs other duties as required
EXPERIENCE:
Minimum 2 years progressive experience in an administrative or reporting role
Experience managing workers compensation claims (preferred but not required)
Experience completing annual OSHA log requirements (preferred but not required)
