We’re looking for a versatile, well-organised, and execution-driven team member to join our Italian team as an Administrative Specialist. In this hybrid role, you’ll be a key player in keeping our local operations running smoothly, supporting benefits, payroll, admin, supplier management, and office life across our hubs in Milan, Rome, Naples, and Palermo. Office & Facilities Management Oversee daily operations of offices in Milan, Rome, Naples, and Palermo Coordinate maintenance, repairs, and office improvements Support office relocations and space planning initiatives Monitor and control assigned office budgets Finance & Administration Support Support time tracking and payroll processing in collaboration with HR and Finance Manage car leasing contracts and ongoing administration Ensure accurate, compliant documentation and timely invoice processing Act as liaison between Italian offices and Central IT in Bulgaria Support internal communications across Italian offices Minimum 2 years of experience in office administration or a similar role Fluent in Italian and English Willing and able to travel frequently to Rome, Naples, and Palermo Proficiency in Microsoft Office (Excel, Word, Outlook) Annual salary reviews, promotions and performance bonuses myPOS Academy for upskilling and training Unlimited access to courses on LinkedIn Learning Annual individual training and development budget Teambuilding, social activities and networks on a multi-national level 26 days annual paid leave ~ Health Insurance ~ Reimbursement of transportation expenses for the metro/train
