Position Overview
The American University of Rome (AUR) is seeking a detail‑oriented and analytically minded professional to support the growth of its fundraising and donor engagement activities.
The Fundraising Operations & CRM Specialist plays a key role in ensuring data accuracy, efficient gift processing, and high‑quality donor stewardship in support of the University’s fundraising initiatives, including its current $10M Comprehensive Campaign. The role also supports campaign tracking and reporting, as well as prospect research and the identification of new donors, helping to build and maintain a strong pipeline of alumni, parents, and friends of the University.
This position is ideal for candidates with experience in CRM management, data analysis, market research, or fundraising support who are interested in applying their skills in a mission‑driven, international academic environment.
CRM Management & Data Integrity
Support the implementation, maintenance, and optimization of the department’s CRM system (Slate for Advancement).
Manage donor records, ensuring accuracy, completeness, and compliance with internal data standards.
Oversee data entry workflows for gifts, pledges, and donor interactions.
Assist in the migration, cleaning, and consolidation of historical donor data.
Support tracking and monitoring of campaign progress and fundraising performance.
Maintain gift tracking tools and support reconciliation of donations and pledges.
Produce regular reports and dashboards on core fundraising metrics (donor participation, new gifts and commitments, donor retention, etc.).
Provide data insights to inform fundraising strategies and outreach activities.
Donor Services & Stewardship
Manage the preparation and timely delivery of donor acknowledgments and correspondence.
Support stewardship initiatives, including donor recognition programs and pledge fulfillment tracking.
Assist with the administration of planned giving and donor recognition initiatives.
Prospect Research
Conduct research on prospective donors, including alumni, parents, foundations, and other individuals connected to the University.
Support the identification of major and leadership level gift prospects.
Maintain prospect tracking systems and research documentation.
Prepare briefing materials and background profiles to support fundraising meetings and engagement activities.
Qualifications
2–4 years of relevant professional experience in CRM management, database administration, fundraising operations, marketing analytics, or market research.
Strong experience working with CRM or database systems and proven accuracy in managing structured datasets.
Solid reporting and analytical skills; advanced proficiency in Excel (or equivalent tool).
Excellent written and spoken English (C1 level or equivalent).
Strong organizational skills and ability to manage multiple tasks and deadlines.
Interest in fundraising, philanthropy, or the higher education sector.
Additional Information
This position is based on the AUR campus in Rome, Italy.
Candidates must either hold a valid Italian work permit or be willing and able to relocate to Italy.
