Role Overview
The Purchasing & Raw Materials Coordinator is an experienced professional (minimum 7-8 years) responsible for managing procurement and supply chain activities related to fragrance raw materials, essences, alcohol, packaging, and technical components. The role ensures continuous availability, quality, and compliance of all materials while coordinating suppliers worldwide and collaborating closely with laboratory, production, and finance teams.
Key Responsibilities
Procurement & Supplier Management
Manage the full purchasing cycle for raw materials, essences, alcohol, packaging, and technical supplies.
Develop and execute comprehensive sourcing strategies that harness market insights to drive cost efficiency and supplier performance
Cultivate strong relationships with key suppliers, negotiating and managing contracts to ensure favorable terms and value.
Manage procurement budgets and perform rigorous cost analyses to identify savings and improve financial performance.
Conduct thorough risk assessments to identify supply chain vulnerabilities and implement mitigation strategies to ensure supply continuity
Work closely with departments such as Finance, and Operations to align procurement strategies with organizational objectives
Establish, implement, and enforce robust procurement policies and procedures to ensure compliance, transparency, and ethical standards in purchasing
Utilize forecasting techniques and data analytics to anticipate demand, manage inventory levels, and support the strategic acquisition of resources.
Optimize and leverage procurement systems and ERP technologies to streamline processes and enhance decision-making capabilities
Raw Materials & Inventory Coordination
Monitor stock levels and define replenishment strategies based on forecasts, seasonality, and production plans.
Coordinate inbound deliveries, quality checks, and technical documentation (CoA, SDS, IFRA certificates, allergen declarations).
Ensure full traceability of batches and compliance with fragrance and cosmetic regulations.
Manage nonconformities and corrective actions with suppliers and internal teams.
Operations & CrossFunctional Alignment
Collaborate with R&D and the laboratory on new ingredients, sampling, and testing.
Coordinate inbound logistics, customs processes, and international shipping.
Contribute to the development of procurement procedures, SOPs, and workflow standards.
Project Management & Process Optimization
Lead supply chain optimization initiatives (supplier consolidation, lead time reduction, quality improvements).
Define procurement KPIs and prepare periodic reporting for management.
Requirements
Minimum 7-8 years of experience in procurement or supply chain roles, ideally in fragrance, cosmetics, chemical, or luxury manufacturing.
Strong knowledge of fragrance raw materials, technical documentation, and regulatory frameworks (IFRA, SDS, allergens).
Proven experience managing international suppliers and complex negotiations.
Strong analytical skills and experience with stock management, forecasting, and ERP systems.
Excellent organizational, communication, and cross‑functional coordination skills.
High attention to detail, reliability, and a strong quality‑driven mindset.
Bachelor’s degree in Supply Chain, Economics, or related fields.
Fluency in English.
