Role Overview
The Executive Assistant (EA) to the Founder/Chairman will provide high-level administrative, coordination, and communication support to ensure smooth functioning of the Chairman’s office. This is a high-impact role requiring strong organizational skills, discretion, proactive execution, and the ability to operate in a fast- paced, dynamic environment.
Key Responsibilities
1. Chairman’s Office Management
Manage the Chairman’s calendar, including scheduling meetings, appointments, and coordinating domestic and international travel
Organize meetings, prepare agendas, take minutes, and ensure timely follow-ups on action items
Act as the primary point of coordination between the Chairman and internal/external stakeholders
2. Coordination & Follow-ups
Liaise with internal departments to track progress on tasks and priorities assigned by the Chairman
Ensure timely execution and closure of action items
Maintain internal trackers, databases, and documentation
3. Communication & Stakeholder Management
Handle phone calls, emails, and correspondence with discretion and professionalism
Facilitate seamless internal and external communication on behalf of the Chairman
Build and maintain effective working relationships with internal teams and external partners
4. Documentation & Reporting
Prepare presentations, reports, notes, and other documents as required
Maintain records, files, and confidential information in an organized and secure manner
Generate regular status reports and summaries for review
5. Administrative & Operational Support
Support travel planning including bookings, itineraries, and visa coordination
Anticipate requirements and proactively manage the Chairman’s priorities
Ensure smooth day-to-day operations of the Chairman’s office
Required Skills & Qualifications
Graduate with 5–7 years of experience as an Executive Assistant supporting senior leadership
(CEO/CFO/Chairman level), preferably in a fast-paced, dynamic environment
Excellent communication skills (written and verbal) with strong fluency in English
Proficient in MS Office (especially Excel), cloud systems, and online calendar tools
Proven experience in travel planning, including international bookings and visa coordination
Highly organized, detail-oriented, proactive, and able to manage multiple priorities
Able to work independently, exercise sound judgment, and handle confidential information with integrity
Flexible and adaptable to changing priorities and work schedules
