Role Overview The

Head of Administration

is responsible for overseeing the complete lifecycle of project documentation and corporate administration. This role serves as a critical link between executive leadership, project managers, accounting, legal counsel, and subcontractors, ensuring that all projects are contractually compliant, properly insured, and administratively supported from bid stage through project closeout.

Key Responsibilities 1. Contract & Subcontract Management Oversee the drafting, review, negotiation, and execution of prime contracts and subcontractor agreements. Ensure contractual compliance with local, state, and federal regulations, as well as internal risk management standards. Manage administrative workflows related to change orders, ensuring timely documentation and integration into existing contracts. Track and maintain valid Certificates of Insurance (COIs) and bonds for all contractors and subcontractors. 2. Operational Administration Standardize and manage filing and archival processes for project contracts, permits, leases, and official correspondence. Oversee the collection and processing of lien waivers and releases to support timely payments and clear project titles. Partner with field teams to support and streamline subcontractor procurement processes. 3. Travel Management Standardize travel booking, logging, and documentation processes across the organization. Manage and audit travel-related documentation, applying forensic review techniques to identify patterns, discrepancies, and exceptions. 4. Leadership & Strategy Audit and improve administrative workflows to eliminate operational bottlenecks between office and project sites. Lead, mentor, and manage administrative staff, including project coordinators and office assistants. Act as a strategic advisor to executive leadership on administrative efficiency and risk mitigation.

Required Qualifications

Experience Minimum

10 years

of experience in construction administration or project management. At least

5 years

in a supervisory or leadership role.

Education Bachelor’s degree in business administration, Legal, Construction Management, Engineering Management, or a related discipline.

Knowledge & Skills Strong understanding of construction-specific legal and compliance requirements, including: AIA contracts and documentation Prevailing wage regulations Lien laws OSHA documentation Proficiency in

Salesforce

and advanced working knowledge of

Microsoft Excel and Word . High attention to detail with the ability to manage complex, document-intensive workflows. Strong interpersonal and communication skills, with the ability to perform effectively in high-pressure environments.
