Job Summary:
The ideal candidate will be responsible for providing comprehensive administrative and coordination support within the Corporate Office. The role requires a highly organized, detail-oriented, and proactive individual capable of managing schedules, facilitating departmental communication, maintaining documentation, and ensuring smooth day-to-day office operations while supporting leadership requirements as needed.
Work Experience:
Minimum

years of experience in a similar role involving coordination, communication, and executive-level support within a corporate framework.
Responsibilities & Duties:
Executive & Administrative Support:
Provide comprehensive administrative support to the Director & Trustee and the Corporate Office.
Manage calendars, schedule appointments, and prioritize engagements effectively.
Oversee the upkeep and maintenance of the official residence/guest house.
Handle day-to-day operational tasks with efficiency and confidentiality.
Meeting & Coordination Management:
Schedule, organize, and attend meetings; prepare agendas and circulate Minutes of Meetings (MoM).
Track action points and ensure timely follow-up and closure.
Act as the primary liaison between the Director & Trustee and internal departments.
Support internal coordination and event logistics to ensure smooth execution.
Travel & Logistics Management:
Plan and manage end-to-end travel arrangements, including flights, accommodation, local transport, and itineraries.
Ensure alignment of travel schedules with executive priorities and preferences.
Handle visa applications and coordinate with embassies where required.
Prepare contingency travel plans and manage last-minute changes efficiently.
Oversee travel budgeting, expense reconciliation, and financial documentation.
Coordinate logistics for events and official engagements attended by the Director & Trustee.
Procurement & Vendor Management:
Maintain corporate office inventory and coordinate procurement activities.
Liaise with vendors and service providers; ensure timely service delivery and follow-ups.
Handle courier, dispatch, and routine vendor communications.
Communication & Documentation:
Draft and manage official correspondence.

Prepare briefing materials for meetings, presentations, and public engagements.
Maintain confidential filing systems (electronic and physical).
Qualifications and Skills:
Educational qualifications:
Bachelor's degree in any field
Mandatory technical skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Calendar, Time Zone
Converter, Calendly, Adobe, Evernote, Zoom, Cam-scan, Microsoft Teams, Google Drive, Grammarly.
Mandatory soft skills:
Well-organized, detail-oriented, ability to multi-task with great follow-up skills, strong written and verbal communication skills, high level of discretion and confidentiality, experience in managing multiple priorities, good in minutes, proficiency in handling complex travel itineraries, capability to handling scheduling, time flexibility, administrative coordination, and logistics
