Role Overview
We are looking for a
detail-oriented and proactive Sales Support Executive – Key Accounts
to provide end-to-end back-office sales support for major key account customers. The role involves managing sales coordination, documentation, CRM processes, order processing, compliance, and cross-functional coordination to ensure smooth execution of the complete sales cycle.
This position requires strong coordination skills, process orientation, and the ability to work closely with Sales, Finance, Logistics, and Supply Chain teams.
Key Responsibilities
Sales Support & Coordination
Provide efficient back-office sales and marketing support to the sales team in line with company SOPs, policies, and procedures
Support major Key Account customers across all sales-related processes
Follow up on sales activities in the absence of individual salespersons
CRM, ERP & Process Management
Execute tasks as per company SOPs using
Sales Force CRM
and
Microsoft Dynamics 365 (D365)
Continuously learn and update knowledge of company ERP, CRM, and IT systems in coordination with internal teams
Documentation & Order Processing
Prepare quotations in predefined formats and, where required, upload them on client portals
Process Sales Orders, Purchase Orders, and other trade finance documentation
Maintain and control principal price lists, catalogues, and related documents
Archive incoming and outgoing documents accurately
Key Account & Customer Support
Follow up on customer payments and send Statements of Account (SOA)
Ensure 100% retention of key account customers through proactive coordination and timely support
Understand customer RFQs, purchase orders, LOIs, and sales contracts
Commercial, Compliance & Trade Knowledge
Ensure compliance with customer timelines for quotations, deliveries, and services
Possess working knowledge of
INCOTERMS
and ensure correct inclusion in sales documents
Understand payment instruments such as Advance Payments, Letters of Credit (LC), and Bank Guarantees
Coordinate insurance requirements with the Admin team
Manage warranty records and ensure support through the warranty period
Inventory, Reporting & Coordination
Update stock inventory and prepare stock requests
Coordinate with suppliers and principals to ensure accurate information flow
Work closely with Finance, Credit Control, Logistics, and Supply Chain teams
Consolidate reports and support the Unit Head with presentations and MIS
Quality, ISO & Process Improvement
Ensure all sales processes comply with company ISO standards in coordination with the ISO MR
Evaluate and improve the quality of sales submissions and documentation
Suggest process improvements to enhance efficiency and effectiveness
Candidate Profile
3–6 years of experience in
Sales Support, Sales Coordination, or Key Account Support roles
Strong knowledge of sales documentation, order processing, and CRM systems
Familiarity with ERP systems such as
D365
is an advantage
Understanding of INCOTERMS, trade finance documents, and payment instruments
Strong coordination, follow-up, and organizational skills
Proficient in MS Office (Excel, Word, PowerPoint)
Ability to work cross-functionally and manage multiple tasks with accuracy
