B.P. Marine Academy is looking for a
highly organized, proactive, and detail-oriented Executive Assistant to the Managing Director (MD)
to support strategic, academic, and operational initiatives at our institute.
This role is ideal for someone who enjoys working closely with leadership, coordinating across departments, and contributing to excellence in
maritime education and training .
Role Overview
The Executive Assistant will act as the
right hand to the Managing Director , ensuring smooth day-to-day operations, effective communication across departments, and timely execution of key initiatives. The role involves administrative coordination, data analysis, documentation, and liaison with regulatory bodies and industry stakeholders.
Key Responsibilities
Coordinate and monitor day-to-day administrative and operational activities related to maritime training programs, faculty schedules, and student affairs
Serve as a liaison between the MD and academic, training, and administrative departments
Manage the MDโs calendar, including meetings with regulatory bodies (e.g., DG Shipping), industry stakeholders, and institutional partners
Assist in coordination of audits and inspections by maritime authorities, ensuring timely preparation and submission of required documentation
Organize and maintain records related to training schedules, accreditation processes, and compliance requirements
Compile and analyze training data to support strategic planning and continuous improvement
Draft official correspondence, reports, meeting minutes, and presentation materials
Support planning and execution of conferences, workshops, and seminars hosted by the academy
Conduct research on industry developments, training standards, and competitor analysis to support decision-making
Skills Required
Proficiency in MS Office Suite (Excel, Word, PowerPoint, Outlook)
Strong organizational and time-management skills with the ability to multitask
Excellent written and verbal communication skills
Analytical mindset with attention to detail and accuracy
Ability to handle confidential and sensitive information with discretion
Experience using digital tools for scheduling, task tracking, and documentation
Strong interpersonal skills to coordinate with faculty, staff, regulators, and industry partners
Qualifications
Masterโs degree in Business Administration (MBA), Bachelor of Business Administration (BBA),
Third Officer in the Merchant Navy , or a related field such as Management, Educational Administration, or Maritime Studies
Specialization in Operations, Administration, or Human Resources is an added advantage
Familiarity with maritime regulatory frameworks (e.g., DG Shipping guidelines) and training standards is preferred
Certifications or short courses in data analysis, project management, or office administration are a plus
Minimum of 2 years of experience in administrative, academic coordination, or management roles (preferably in an educational or maritime training environment)
Preference will be given to candidates with a marine or maritime background , especially those with sailing experience or prior exposure to maritime education/training institutions
