The Opportunity We're looking for someone who has actually worked in USA real estate as a transaction coordinator, listing coordinator, virtual assistant to agents, real estate agent, or in any operational role where you dealt with: MLS listings Purchase agreements and contracts Title and escrow processes CRMs like Follow Up Boss or kvCORE Transaction management tools like Dotloop, SkySlope, or Qualia Communication between buyers, sellers, agents, lenders, and title companies If you've been the person making sure deals close smoothly, tracking contingencies, managing documents, and coordinating between multiple parties, this role is for you.

What You'll Do

Be the Voice of Real Estate Users (40%) Translate \"agent speak\" into clear requirements for our tech team Test new features from a real estate professional's perspective Talk to USA real estate agents, brokers, and transaction coordinators Conduct user research calls to understand their daily workflows and pain points Watch how users interact with our platform and identify friction points

Guide Product Decisions (30%) Help prioritize features based on what will actually help agents close more deals Review designs and prototypes—call out when something won't work in real practice Write user stories that reflect real transaction workflows Advise on integrations with tools agents already use Spot opportunities we're missing because we don't live in their world Document & Train (20%) Create documentation and training materials for real estate users Build workflow guides that match how agents actually work Develop onboarding sequences for new users Record video tutorials and help articles Identify common user questions and create resources Support & Feedback Loop (10%) Jump on calls with confused users to understand what's not working Gather and synthesize feedback from agents using the platform Be the advocate for users in internal discussions Help support team understand real estate context behind questions

You're a Great Fit If You Have

Real Estate Operations Experience (Required) 2-4+ years working in USA real estate operations, such as: Transaction coordinator (virtual or in-office) Listing coordinator Virtual assistant to real estate agents/teams Real estate operations manager Inside sales agent (ISA) with transaction knowledge Any role where you managed deals from contract to close USA Real Estate Knowledge (Required) Deep understanding of USA real estate transaction workflows Know the difference between escrow in California vs attorney states Familiar with contingencies, disclosures, and closing processes Experience with MLS systems Understanding of title, escrow, and lending processes Know what HOA, COE, EMD, and other industry acronyms actually mean Tools & Systems (Required) Hands-on experience with real estate tools like: CRMs: Follow Up Boss, kvCORE, LionDesk, CINC, BoomTown Transaction Management: Dotloop, DocuSign, SkySlope, Authentisign Title/Escrow: Qualia, SnapDocs, ResWare Communication: Slack, WhatsApp, team communication tools Comfortable learning new software quickly Can create process documentation and workflows Communication Skills (Required) Excellent written and spoken English (you'll talk to USA agents daily) Can explain complex real estate processes clearly Comfortable on video calls with clients Patient and empathetic with users Can translate between technical and non-technical language

Nice to Have (But Not Required) Real estate license (USA or your home country) Experience training other transaction coordinators or VAs Worked with multiple brokerages or team structures Understanding of different state regulations (Ohio, Texas, Florida, etc.) Experience with any product management or user research Previous work with tech startups or SaaS companies Basic understanding of APIs and integrations

Day in the Life Review feedback from yesterday's user interviews Join product meeting with tech team to discuss new feature requirements Update user stories based on real estate workflow you documented Conduct user interviews with USA agents Test new feature release and provide real estate perspective Create help documentation for escrow integration Join demo call with potential client to understand their needs Participate in sprint planning to advocate for user priorities

What Success Looks Like

First 30 Days Complete 10-15 user interviews with USA agents and transaction coordinators Document top 5 pain points in their current workflows Understand our current product features and technical capabilities Identify 3 \"quick wins\" that would make agents' lives easier First 90 Days Become the go-to person for \"how do agents actually do this?\" Influence at least 2 major product decisions based on real estate insights Create comprehensive workflow documentation for key user journeys Build relationships with 5-10 active users for ongoing feedback First 6 Months Establish regular user research cadence (weekly interviews) Help ship features that agents actually use and love Reduce user confusion by creating clear documentation and training Identify and validate the next big integration or feature to build
