Role Overview
We are looking for a highly driven EA cum Project Manager to partner closely with the CEO or CTO in driving strategic initiatives, execution rigor, and leadership effectiveness within a context-driven AI services company in the Life Sciences domain.
This is not a traditional administrative EA role.
It is a strategy-to-execution role that requires strong program management capability, structured thinking, business judgment, and the ability to independently manage cross-functional priorities in a fast-paced, high-growth environment.
The role will operate at the intersection of strategy, execution, and leadership enablement, ensuring that critical initiatives are tracked, unblocked, and delivered with clarity and speed.
Key Responsibilities
Strategic Program & Execution Management
Partner with the CEO/CTO to translate strategic priorities into executable plans, milestones, and measurable outcomes.
Own tracking and execution governance across key leadership initiatives and cross-functional programs.
Drive weekly execution reviews, status reporting, and risk management for leadership priorities.
Identify bottlenecks, dependencies, and execution gaps, and proactively drive resolution.
Support business research, competitive insights, and data-backed decision preparation.
Executive Operations & Calendar Governance
Manage dynamic executive calendars with a focus on maximizing time spent on strategic priorities.
Structure meeting agendas, pre-reads, and decision frameworks to improve meeting effectiveness.
Serve as a central coordination point for high-impact internal and external engagements.
Leadership Enablement & Decision Support
Enable effective decision-making through structured briefs, dashboards, and synthesis of complex information.
Prepare executive-ready presentations, reviews, and narrative documents for internal and external stakeholders.
Ensure follow-through and accountability on leadership discussions and action items.
Act as a thought partner in prioritization, sequencing, and execution trade-offs.
Cross Functional Program Coordination
Coordinate across product, engineering, business, and operations teams to drive alignment and delivery.
Establish clear communication cadences, reporting mechanisms, and execution rhythms.
Maintain visibility into deliverables, timelines, and success metrics across initiatives.
Support planning for leadership reviews, strategy offsites, and execution checkpoints.
Information & Confidentiality Management
Handle sensitive business, strategic, and organizational information with strict confidentiality.
Maintain structured documentation, decision logs, and execution trackers for leadership visibility.
Skills & Qualifications
Bachelor’s degree required; MBA or equivalent business exposure preferred.
3–5 years of experience in program management, business operations, consulting, or executive support with execution ownership.
Prior experience working with CxO leadership in technology, AI, SaaS, or IT environments.
Strong capability in structured problem solving, prioritization, and stakeholder management.
High proficiency in PowerPoint, Excel, and executive-level documentation.
Excellent written and verbal communication with executive presence.
High ownership, speed of execution, and comfort operating in ambiguity and fast-changing environments.
Experience Expectations
Demonstrated ability to drive initiatives end-to-end, not just coordinate.
Experience managing cross-functional programs with measurable outcomes.
Exposure to strategy execution, leadership reporting, or business operations.
Strong judgment in handling confidential and high-stakes decisions.
