The Role and What You’ll Do We are seeking a highly detail-oriented Benefits Coordinator to support the Global Benefits team. This role focuses on transactional and administrative accuracy to keep benefits operations running smoothly, and plays a critical part in ensuring financial integrity, and accurate administration of benefits programs. It is primarily a US benefits operations role with responsibility for global invoicing and certain other global tasks.

The Benefits Coordinator will be responsible for core operational activities including invoice processing, payroll reconciliation, audits, documenting processes, and distributing benefits communications. This role requires exceptional attention to detail, strong organizational and analytical skills, and a continuous improvement mindset, while operating effectively in a fast-moving, global environment.

Please note there will be some cross over with US and UK time so exact work hours for this role is TBC. Also do note this is a remote role and you will be expected to have a home office set up for work.

Key Responsibilities

Benefits Operations & Financial Administration Manage benefits-related invoices for the US and UK, ensuring timely, accurate processing in partnership with Payroll and Finance. Perform payroll and benefits reconciliation, identifying discrepancies and resolving issues with vendors, Payroll, and Finance teams. Maintain accurate records of benefits spend, invoice approvals, and supporting documentation to meet internal controls and audit requirements. Document benefits processes so they are repeatable and consistent regardless of who is executing on them.

Audits, Data Accuracy & Controls Run regular audits in line with internal requirements to ensure data accuracy across benefits invoices, payroll files, benefits platforms, and provider membership lists. Validate employee benefit selections and eligibility data against vendor and payroll records. Proactively identify and escalate data inconsistencies, working through resolution with internal partners and external providers. Run reports to support the maintenance of the Global Benefits Scorecard, which is used to drive data-based design making.

Employee Support & Inquiries Act as a first point of contact for employee benefits questions, providing clear, accurate, and timely responses. Triage and escalate more complex cases within the department or to appropriate internal partners. Ensure a positive employee experience by balancing accuracy, responsiveness, and empathy in all employee interactions.

Other Manage benefits-related employee communications, including maintaining distribution lists and ensuring messages reach the right audiences. Provide logistical support for benefits-related meetings and events globally. Support the Global Benefits team with ad hoc projects and operational needs as required. Identify opportunities to improve efficiency, accuracy, and smarter ways of working, including leveraging tools, automation, and data. Back up Total Rewards Analyst on administrative tasks.

What We’re Looking For 1 - 3 years of experience in benefits administration or HR operations, ideally in a fast-changing or scale-up environment. Extremely strong attention to detail, with a proven ability to manage complex data, invoices, and reconciliations accurately. Strong organizational skills, with the ability to balance structure and flexibility. Excellent written and verbal communication skills, with the ability to support clear, engaging employee messaging. Proficiency in Microsoft Excel. Familiarity with HR systems such as Workday and ADP is a plus. Curiosity and openness to using AI‑enabled tools and automation; experience experimenting with new tools to drive efficiency is a plus.
