What is the role:
In this role, you will serve as the primary operational engine to the leadership team, acting as the critical link between tax operations, accounting departments, and our diverse portfolio of professional clients, bringing ownership and vision to a position that uniquely combines administrative excellence with technical tax project management.
What you would do:
Administrative & Systems Operations:
Manage calendars, scheduling, and communication triage
Handle mail, including IRS and state notices and deadlines
Manage document uploads, storage, and client portals
Administer access to tax software and internal systems; coordinate IT and user support
Tax Operations:
Manage tax onboarding and ongoing coordination for individual and business returns
Support end-to-end tax return project management across current and prior years
Prepare and send tax organizers; track missing items and client follow-ups
Coordinate e-signatures, e-filing, extensions, rejections, and paper filings
Liaise between tax, accounting teams, and clients to ensure timely completion
Client Management:
Respond to client queries and ad hoc requests professionally and promptly
Manage time-sensitive issues and support de-escalation when required
Coordinate partner follow-ups and support new client onboarding
Manage engagement letters, billing coordination, portals, and initial data intake
Tax Planning Support:
Manage estimated tax payments and confirmations
Support year-end and ongoing tax planning activities
Coordinate planning meetings and prepare client recaps and next steps
Liaise between clients, tax teams, wealth advisors, and attorneys
Business Support & Process Improvement:
Support business compliance requests and partner outreach as needed
Assist with formations, dissolutions, and annual filings
Contribute to process standardization, tax-season readiness, and operational improvements
Delivery management:
Ensure 100% of tax extensions, amendments, and estate filings are tracked and moved through the pipeline before statutory deadlines.
Maintaining a proactive, high-frequency follow-up on missing client items.
What you need:
Strong organizational skills and a high level of precision in data entry and document handling.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Ability to manage multiple tasks and work independently in a fast-paced environment.
Good understanding of time zone conversions.
A basic understanding of tax regulations and financial document organization to support the tax and accounting teams.
B. Com or Accounting degree is preferred; experience in tax preparation, office management, or administrative support is a plus.
