Position Overview/Primary Purpose

This role serves as our travel specialist for our team providing direct traveler support: researching and booking flights, hotels and rental cars. Monitoring if all reservations were booked correctly, according to travel policy rules and best practices. A person in this role will also be responsible for monitoring all systems (GDS, Concur) and cooperate with supervisor as well as Procurement Team in order to support relations with external vendors. This role also includes understanding and supporting expense side to provide ad hoc support to Company travelers.

Key Responsibilities

Research, coordinate and book all international travel arrangements (air, car, hotel, train, etc.) in a timely manner. Support Travelers and Travel Arrangers as the first point of contact for travel related questions, provide guidance/interpretation of travel guidelines and assistance with known traveler programs and travel documentation. Research as well as resolve client concerns along with agent errors in timely manner. Provide education, best practices and support to Travelers and Travel Arrangers on key industry information and overall program including technology, enhancements and program initiatives. Maintain travel profiles, conduct scheduled reviews for updates and completeness of data. Ensure that corporate negotiated rental of car, air and hotel are logged into GDS.

Additional/Secondary Responsibilities

Provide travel support to administrative departments upon request. Maintain travel program documentation. Assist with projects as needed. Ensure to receive client calls and reservations as required plus support agents with customers. Ensure to enforce Travel and T&E Policies rules among travelers. Ensure to attain mastery of the reservations systems. Prepare and present solutions to respond to determined opportunities. Ensure clients attain excellent service through identifying proactively and correcting prospective process plus service gaps. Provide Travelers with options based on travel request, utilizing cost effectiveness and negotiated agreements to book the most efficient and hassle-free itinerary. Secure travel arrangements proactively during delays and/or cancellations. Collaborate with Travel and T&E work streams through handling emergency TE queries for NA cardholders.

Required Qualifications: Level of Education and Discipline: High School Diploma

Experience Must have 3-5 years of booking travel in a heavy domestic & international environment in an administrative or travel role. Experience using online booking tool, preferably Concur. Experience using GDS (Travel booking systems), preferably Sabre and/or Amadeus (highly specialized skill)

Interpersonal Skills Effective verbal and written communication skills with the ability to communicate across all levels of the firm

Other Skills & Competencies Experience in providing trainings for individuals and groups preferable

Dimensions Role is based in India and primary supports for Global travelers and the global travel program Policy & process execution.

Impact to business : scope global Close cooperation with Corporate Procurement, Corporate Security, E&C and other P2P teams Reporting to Global Travel and T&E Manager, P2P.
