Job Summary

We are seeking a detail-oriented and process-driven

Payroll Executive

to manage end-to-end payroll operations while ensuring statutory compliance and data accuracy. The ideal candidate will possess strong payroll technical expertise, advanced Excel proficiency, and the ability to handle sensitive employee data with integrity and confidentiality.

Key Responsibilities

1. Payroll Processing & Administration Execute end-to-end monthly payroll processing. Validate salary structure and CTC breakups. Calculate LOP, arrears, incentives, bonuses, and variable pay components. Process Full & Final (FNF) settlements. Compute gratuity and leave encashment as per applicable regulations. Perform payroll reconciliation with finance and accounts teams. Prepare and validate payroll registers and reports.

2. Statutory Compliance & Legal Adherence Ensure compliance with PF, ESI, PT, LWF regulations. Manage TDS on salary and support Form 16 generation. Maintain compliance under the Shops & Establishments Act. Ensure adherence to Labour Law basics, Bonus Act, and Gratuity Act. Support payroll audit documentation and statutory audits. Coordinate with external consultants and auditors when required.

3. Systems & Reporting Operate payroll software such as Keka or similar platforms. Validate HRMS data for accuracy and completeness. Prepare MIS reports and payroll dashboards for management review. Utilize Advanced Excel functions (VLOOKUP, XLOOKUP, Pivot Tables, IF, COUNTIFS) for payroll data analysis.

4. Accuracy & Quality Control Maintain a zero-error payroll mindset. Ensure high accuracy in calculations and data processing. Conduct thorough data validation before payroll release. Implement process improvements to reduce discrepancies.

5. Confidentiality & Ethics Handle sensitive salary and employee data with strict confidentiality. Ensure compliance with data privacy and internal policies. Maintain high ethical standards in payroll administration.

6. Stakeholder Communication Resolve employee payroll queries promptly and professionally. Clearly explain salary breakups, deductions, and statutory components. Coordinate effectively with Finance, HR, and external auditors.

7. Time & Deadline Management Adhere strictly to payroll processing timelines. Manage multiple payroll-related tasks during peak payroll cycles. Handle month-end pressures efficiently while maintaining accuracy.

Required Skills & Competencies Experience handling payroll for 500+ employees. Strong understanding of salary structures and payroll compliance. Expertise in statutory deductions and labour law fundamentals. Advanced Excel proficiency. Experience with payroll systems and HRMS platforms. Strong analytical and reconciliation skills. High attention to detail. Excellent communication and coordination abilities. Ability to work under strict deadlines. Exposure to payroll audits. Process improvement mindset. Strong integrity and confidentiality standards.

Educational Qualification Bachelor’s degree in Commerce / Finance / HR or related field. Certification in Payroll or Labour Law (preferred).
