Role Overview:
This role is a cornerstone in elevating one of the most forward-looking global podcasts at the intersection of
AI, public policy, and global impact . As the Guest Outreach & Relationship Lead, your mission goes beyond booking guests—you will
craft the show's intellectual backbone
by forging relationships with world-class thinkers, technologists, policymakers, and change agents before they dominate headlines.
You will be responsible for
identifying, approaching, and engaging potential guests —ranging from U.S. Senators to Silicon Valley founders to UN advisors—with
an anticipatory mindset . The key to your success lies in being
a step ahead of industry trends , understanding where the global discourse is moving, and framing guest invitations around those ideas.
Given our U.S.-centric audience and the nature of our guests,
availability during Eastern Standard Time (EST) working hours is non-negotiable . This will ensure you’re able to coordinate directly with U.S.-based hosts, executives, and guests in real time for pre-episode briefings, outreach pivots, and live sync-ups.
Key Responsibilities:

Own the guest pipeline strategy:
Identify high-impact individuals across AI, public policy, ethics, law, business, defense, healthcare, and education who align with the show's evolving narrative.

Lead intelligent outreach:
Craft compelling, well-researched pitches that resonate with busy thought leaders. Personalize every communication with insight, empathy, and strategic intent.

Track the pulse of AI and policy intersections:
Actively monitor developments in AI regulation, technological breakthroughs, and global discussions to shape future episode themes—and inform who should be invited next.

Pre-empt guest needs:
Develop a deep understanding of each guest’s professional work, recent commentary, and public engagement. Pre-emptively align proposed topics with what they care most about right now.

Build long-term guest relationships:
Manage post-episode communication, keep past guests engaged for future opportunities, and build a community of recurring, respected voices.

Coordinate across time zones:
Ensure all outreach, confirmations, and guest onboarding happen efficiently with a
priority on U.S. working hours (EST) . Be available for live touchpoints with the editorial and production team as needed.

Maintain a robust outreach system:
Track all interactions in an organized CRM-like framework (via Airtable, Notion, or similar), including guest details, outreach timelines, response status, and relationship notes.

Collaborate deeply with the host and production team:
Regularly align on upcoming editorial arcs, special series, policy windows, or global events worth anchoring guest selection around.
Ideal Candidate:

4–7 years of experience in guest relations, thought leadership programming, political affairs, podcast production, think tanks, or high-level stakeholder outreach.

Deep familiarity with the current AI landscape, particularly around its
policy, ethical, and cross-industry implications .

Ability to
connect news cycles and academic discourse
with guest strategy—essentially predicting the conversations that will matter next.

Strong interpersonal instincts, executive-level communication style, and a bias for personalization in relationship-building.

Organized and deadline-driven with a proactive mindset—you follow up without being asked, and you think three moves ahead.

Comfortable navigating high-calibre networks (e.g., think tanks, advisory boards, VC-backed founders, senior policymakers).

Tech-savvy with productivity and CRM tools.
·
Must be consistently available during EST business hours , Monday–Friday. This is vital for live briefings, outreach adjustments, production timelines, and real-time decision-making.
