Position Summary:
This role supports front-of-house reception, student applicant engagement, agent coordination, event promotion, and CRM data accuracy. It is responsible for maintaining professional and welcoming office operations, managing event logistics, tracking inquiries and follow-ups, coordinating promotional materials, and ensuring accurate record-keeping in Salesforce.
The position works in collaboration with Global Business Development Officers and the wider team to ensure smooth delivery of services, responsive engagement with prospective learners and partners, and alignment with Niagara Collegeโs service standards.
Key Responsibilities:
- Lead front-of-house operations by greeting visitors, providing tours, and sharing information about Niagara College programs, services, and activities.
- Ensure the Experience Center remains secure, organized, and professional, consistently reflecting Niagara Collegeโs brand and standards.
- Maintain active engagement with prospective students and applicants through calls, emails, and WhatsApp, providing timely and accurate responses.
- Record all applicant interactions and updates in Salesforce CRM within required timelines to ensure data accuracy and proper follow-up.
- Coordinate and support webinars, online sessions, and in-person events, handling scheduling, logistics, registration, and attendee communications.
- Liaise with vendors and partner agencies to manage event setup, hospitality, and smooth on-site execution.
- Manage the inventory of promotional materials and branded items, ensuring timely recordings and distribution to agents and event locations.
- Oversee digital displays and coordinate with IT for troubleshooting, ensuring all content remains current and brand compliant.
- Support day-to-day office operations, including courier services, maintenance requests, and supply management, while maintaining communication with property management.
- Prepare regular reports summarizing applicant engagement, visitor activity, and recruitment trends to support team planning.
- Perform other duties as assigned to support the smooth operation of the Experience Center and Global Education initiatives.
Knowledge, Skills and Abilities:
- Strong interpersonal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), Zoom, and CRM systems like Salesforce.
- Strong organizational and multitasking abilities.
- Demonstrated ability to follow structured processes and comply with documentation standards.
- Ability to work under pressure and adapt to shifting priorities, and think critically to solve problems.
- Detail-oriented with a high degree of accuracy in data entry and reporting.
- Demonstrated professionalism in handling sensitive information and client interactions.
- Proven ability to manage inventories and vendor relationships.
- Capacity to work both independently and collaboratively.
Job Requirements
- Bachelorโs degree, or an equivalent combination of education and relevant experience
- 2โ3 years of experience in student recruitment, admissions support, or engagement roles or similar.
- Proven experience in presentation, public speaking, organization, and office management.
- Experience in CRM management or customer relations is an asset.
- Flexibility to work outside standard hours during webinar sessions or events.
Working Conditions:
- Based in a professional office environment at the Niagara College Experience Center - Chandigarh.
- Occasional evening or weekend work may be required to support events.
- May involve light lifting of materials, equipment setup, or prolonged standing during events.
- Must follow all safety procedures and report any workplace incidents to the appropriate contact.
