Job Summary
The Patient Billing Agent is responsible for managing patient-facing billing activities within the dental revenue cycle. This role focuses on explaining charges, insurance payments, and patient balances in a clear and professional manner, while ensuring accurate posting, timely collections, and a high standard of customer service. The ideal candidate is detail-oriented, patient-focused, and experienced in dental billing workflows.
Key Responsibilities
Review, generate, and explain patient statements, invoices, and outstanding balances
Communicate with patients via phone, email, or portal to address billing questions, payment plans, and disputes
Post patient payments accurately (credit cards, checks, EFTs) and reconcile accounts
Verify insurance payments and apply adjustments, co-pays, deductibles, and write-offs as appropriate
Collaborate with insurance billing and posting teams to ensure balances are accurate and up to date
Identify and resolve billing discrepancies or misapplied payments
Set up and monitor patient payment plans in accordance with office policies
Maintain detailed and accurate documentation in the practice management system
Ensure compliance with HIPAA and internal billing procedures
Provide professional, empathetic service to patients, including handling escalated or sensitive billing concerns
Required Qualifications
Prior experience in dental billing, patient accounts, or dental revenue cycle management
Working knowledge of dental insurance plans, EOBs, co-insurance, deductibles, and coordination of benefits
Strong verbal and written communication skills with a customer-service mindset
High attention to detail and accuracy in financial data entry
Ability to manage high call volume and multiple accounts simultaneously
Proficiency with dental practice management software (e.g., Dentrix, Eaglesoft, Open Dental, or similar)
Preferred Qualifications
Experience handling patient collections and payment plans
Familiarity with insurance portals and dental billing codes (CDT)
Bilingual skills (a plus, depending on patient base)
Experience working with offshore or remote dental billing teams
