Job Title: Fixed Assets Accounting Specialist – Finance Shared Services
Job Summary:
We are looking for a Fixed Assets Accounting Specialist to join our Finance Shared Services team.
This role focuses on the day-to-day transactional activities related to the fixed assets lifecycle, including asset creation, capitalization, transfers, depreciation, and disposals. The successful candidate will be responsible for maintaining accurate fixed asset records in SAP, ensuring compliance with company policies and financial reporting standards. This is a transactional, high-volume role that requires excellent attention to detail and a solid understanding of fixed asset accounting processes within a shared services environment.
Key Responsibilities:
Fixed Asset Transactions:
o Process fixed asset transactions in SAP, including asset creation, capitalizations,
transfers, adjustments, and disposals, ensuring all entries are accurately recorded.
o Review and validate capital expenditure (CAPEX) requests to ensure compliance with
company policy before capitalizing assets.
o Monitor asset additions and ensure all transactions are supported by appropriate
documentation and approvals.
Asset Depreciation:
o Ensure that depreciation schedules are correctly applied in accordance with accounting
standards (GAAP or IFRS) and company policies.
o Process monthly, quarterly, and annual depreciation runs in SAP and reconcile
depreciation expenses to the general ledger.
o Review and analyze depreciation variances, ensuring accurate reflection of asset lives
and depreciation methods.
Asset Reconciliation & Reporting:
o Reconcile the fixed asset subledger to the general ledger on a regular basis, ensuring
accuracy and resolving discrepancies in a timely manner.
o Prepare and maintain fixed asset schedules for internal and external reporting, including
roll-forward reports, asset aging reports, and capital expenditures reports.
o Assist with month-end and year-end closing activities by providing fixed asset data and
supporting documentation.
Asset Transfers & Disposals:
o Process asset transfers between business units or locations, ensuring accurate
accounting treatment for intercompany and intra-company transfers.
o Handle asset disposals, including sale, scrapping, or write-off, ensuring all transactions
are properly documented and recorded in SAP.
o Monitor gains or losses on disposals and ensure they are recorded in compliance with
financial reporting standards.
Audit & Compliance:
o Support internal and external audits by providing fixed asset reports, supporting
documentation, and reconciliations as required.
o Ensure compliance with company policies, SOX controls, and accounting regulations
related to fixed assets.
oAssist with asset physical verification and tracking, ensuring assets recorded in the
system are aligned with physical asset inventories.
Master Data Maintenance:
o Maintain the fixed asset master data in SAP, ensuring accurate asset descriptions,
locations, cost centers, and other relevant information.
o Collaborate with the finance and operations teams to ensure timely updates to the master
data for newly acquired or disposed assets.
Continuous Improvement & Process Optimization:
o Identify and suggest improvements to the fixed asset management processes, seeking
ways to enhance efficiency and accuracy within the shared services environment.
o Participate in SAP system enhancements or upgrades related to fixed assets, providing
input on requirements and testing system changes.
Knowledge and Skills Required:
Educational Background:
o Bachelor’s degree in Accounting, Finance, or a related field.
Experience:
o 3+ years of experience in fixed assets accounting, preferably within a finance shared
services environment.
o Hands-on experience with SAP in managing fixed assets, including asset creation,
depreciation, and disposals.
o Familiarity with accounting principles and standards, including GAAP or IFRS, particularly
in relation to fixed assets.
Technical Skills:
o Proficiency with SAP FI/CO modules, specifically the fixed assets (FA) submodule.
o Strong skills in Microsoft Excel for reconciliations, reporting, and analyzing large volumes
of asset data.
o Knowledge of financial reporting standards and fixed asset accounting practices.
Communication Skills:
o Good written and verbal communication skills for collaborating with finance teams,
auditors, and other stakeholders within the organization.
o Ability to explain asset accounting concepts and resolve queries from non-finance
departments.
Attention to Detail & Accuracy:
o Strong attention to detail, ensuring accuracy in recording asset transactions and
reconciliations.
o Ability to manage high volumes of transactions while maintaining accuracy and adherence
to deadlines.
Organizational & Problem-Solving Skills:
o Excellent organizational skills for managing multiple fixed asset processes simultaneously,
particularly during month-end close.
o Strong problem-solving abilities to resolve discrepancies in asset accounting or
reconciliations.
