As we scale, we’re looking for a world-class Executive Assistant who can act as the Founder’s right hand — enabling speed, structure, efficiency, and calm across all operations.

Role Overview

The Executive Assistant will manage and optimise the Founder’s day-to-day workflow, communication, scheduling, coordination, and follow-through. This is not a routine admin role — it requires high emotional intelligence, impeccable attention to detail, excellent communication, and the ability to anticipate needs before they arise.

You will operate as a force multiplier, ensuring the Founder stays focused on strategy, partnerships, and client experience while you run everything around it smoothly.

Key Responsibilities 1. Founder Support & Calendar Management

Own the Founder’s daily schedule — organise calls, meetings, travel, and blocks of deep work Prioritise tasks and commitments with a clear understanding of urgency and importance Ensure the Founder is always briefed, prepared, and on time

2. Communication & Coordination

Act as the primary point of contact between the Founder and internal/external stakeholders Draft emails, follow-ups, summaries, and structured communication Maintain high levels of professionalism and confidentiality

3. Travel & Logistics Assistance (High-Precision)

Coordinate business + personal travel, including flights, hotels, transfers, and documents Create “zero-surprise itineraries” mirroring Evora’s UHNW standard Manage visa processes, appointment scheduling, and timely reminders

4. Project & Operations Support

Track ongoing business initiatives, deadlines, and follow-ups Coordinate with marketing, design, finance, and operations teams Maintain dashboards, trackers, SOPs, and weekly review reports

5. Documentation & Organisation

Manage files, contracts, proposals, and confidential data Prepare presentations, briefs, and meeting notes Build systems for improved efficiency and predictability

6. Social Media & Content Coordination (Bonus Advantage)

Assist with scheduling posts, drafting captions, coordinating with content teams Maintain the Founder’s personal brand calendar (LinkedIn + Instagram)

7. Personal Errands (Limited, As Needed)

Support the Founder with essential personal tasks to ensure smooth functioning Handle time-sensitive requests responsibly and respectfully

Who This Role Is For

Qualifications

3–7 years experience supporting founders, CXOs, or UHNW individuals

Strong written & verbal communication

Experience in managing calendars, travel, and multi-stakeholder coordination

Ability to handle sensitive information with integrity

Comfortable with digital tools (Google Workspace, Notion, CRM, WhatsApp Business, etc.)
