Job Description
Job Purpose
To provide accurate, timely and compliant payroll administration support, ensuring all employees are paid correctly and on schedule. The role supports HR and Finance with payroll processing, employee data management and statutory obligations, maintaining confidentiality and compliance with HMRC and company procedures.
Key Responsibilities
Payroll Administration
- Assist with the preparation and processing of monthly payroll in line with payroll deadlines.
- Input and maintain accurate employee payroll data including starters, leavers and contractual changes.
- Process variations to pay including overtime, additional hours, allowances and deductions.
- Ensure correct calculation of statutory payments including SSP, SMP, SPP and other family-related leave payments.
- Support pension administration including enrolment, opt-ins, opt-outs and pension contributions.
- Check payroll reports and identify discrepancies prior to payroll submission.
- Assist with the production and distribution of payslips and payroll correspondence.
- Liaise with internal departments to resolve payroll queries.
- Ensure compliance with HMRC requirements including RTI submissions and statutory reporting.
Employee Records & Compliance
- Maintain accurate employee records on HR and payroll systems.
- Ensure bank details and pay information are recorded correctly.
- Update records following pay reviews, promotions, maternity leave, sickness and contract changes.
- Ensure payroll data is processed in accordance with data protection requirements.
- Support the preparation of P45s, P60s and other statutory documentation.
HR & Finance Support
- Work closely with HR to ensure new starters are set up correctly, and leavers are processed promptly.
- Assist with the reconciliation of payroll reports and finance records.
- Support responses to payroll queries from employees, managers and external bodies.
- Maintain filing systems and secure retention of payroll documentation.
- Support audits and provide payroll data when required.
General
- Maintain strict confidentiality when handling employee and payroll information.
- Follow company policies, procedures and payroll legislation.
- Undertake training as required to remain up to date with payroll and statutory changes.
- Provide administrative cover within the HR team during periods of absence.
- Assist with other administrative duties as required to support the HR and Finance functions.
