Position Title: Sales Administrator
Department: Sales & Marketing
Reports To: Marketing Head

JOB SUMMARY
We are seeking a highly organized and detail-oriented Sales Administrator to support our sales operations. The ideal candidate must have solid hands-on experience using CRM, ensuring accurate pipeline management, customer data maintenance, and sales reporting.
This role requires strong administrative capability, high accuracy, and excellent communication skills. Good communication is a must, as the position involves regular coordination with internal teams and clients.
KEY RESPONSIBILITIES
A. Sales Administration & Documentation
• Prepare and issue quotations, proposals, and sales contracts.
• Process sales orders accurately and in a timely manner.
• Coordinate with finance for invoice issuance and payment monitoring.
• Maintain and organize all sales-related documentation.
• Ensure compliance with internal sales procedures.
B. CRM Management
• Manage and maintain all data within CRM.
• Input and update leads, prospects, and customer records accurately.
• Track and monitor sales pipeline and deal stages.
• Generate weekly and monthly sales reports from CRM.
• Ensure CRM data integrity, completeness, and accuracy.
• Support sales team with follow-up reminders and activity tracking.
C. Customer & Internal Coordination
• Respond to customer inquiries professionally and promptly.
• Coordinate with operations, finance, and management teams.
• Assist the sales team in preparing client presentations and documents.
• Handle customer requests and escalate issues when necessary.
D. Reporting & Sales Support
• Prepare regular sales performance reports.
• Monitor sales targets and pipeline status.
• Provide accurate sales forecasts and updates.
• Support management with data analysis for strategic decisions.
E. Administrative Support
• Schedule meetings and maintain sales calendars.
• Prepare meeting summaries when required.
• Support tender submissions and project documentation.
• Perform additional administrative duties as assigned.
3. Qualifications
• Minimum SMA or Diploma (D3) / Bachelor’s Degree in Business Administration, Marketing, Management, or related field.
• Minimum 1–2 years experience in Sales Admin / Sales Support role.
• Proven hands-on experience using CRM is preffered.
• Experience in Design Consulting and Real estate sales administration is preferred.
• Strong knowledge and practical experience in CRM.
• Highly organized with strong attention to detail.
• Excellent verbal and written communication skills.
• Good communication is a must.
• Proficient in Microsoft Office (especially Excel).
• Strong time management and ability to meet deadlines.
• Ability to work independently and as part of a team.
• Problem-solving mindset and proactive attitude.
