Position Overview:
The Operation Assistant supports day to day operational activities related to vehicle management, documentation, and coordination. This role ensures smooth handling of vehicle registrations, regulatory matters, car handovers, and accident-related processes while liaising with internal teams, authorities, and external vendors.
Responsibilities:
Vehicle & Regulatory Matters
Handle VEP (Vehicle Entry Permit) matters, including application, renewal, tracking, and compliance.
Manage car registration matters, including new registrations, transfers, renewals, and related documentation.
Liaise with relevant authorities, agents, and vendors to ensure timely processing of all vehicle-related requirements.
Maintain accurate records and documentation for all regulatory and vehicle matters.
Vehicle Handover & Preparation
Ensure all handover cars are properly prepared prior to delivery, including cleanliness, documentation, accessories, and readiness checks.
Coordinate with internal teams, workshops, or vendors to resolve any pre-handover issues.
Support and coordinate car handover arrangements when required.
Attend to accident matters, including initial reporting, documentation, and coordination with insurers, workshops, and relevant parties.
Assist in insurance claims submission, follow-ups, and settlement tracking.
Maintain proper records of accident cases and ensure timely resolution.
Operational Support
Provide general operational and administrative support to ensure smooth daily operations.
Track deadlines, follow up on outstanding matters, and prepare basic reports when required.
Perform any other ad-hoc operational duties assigned by management.
Requirements & Qualifications
Diploma or equivalent qualification; relevant experience in operations, administration, or vehicle-related roles is an advantage.
Familiarity with vehicle registration processes, VEP, or insurance claims is a plus.
Strong organizational and time-management skills.
Good communication skills and ability to liaise with multiple stakeholders.
Detail-oriented, responsible, and able to work independently.
Basic computer skills (MS Office, email, record-keeping systems).
Preferred Attributes
Experience in automotive, logistics, fleet management, or operations-related roles.
Ability to handle urgent matters calmly and efficiently.
Proactive attitude with a hands-on approach.
