Job Description

We are seeking for an individual to join us to provide a full spectrum of office related tasks to the Singapore office in our company.

Responsible for making travel arrangements by travel agent for the Country Head and all other staff excluding the regional teams in compliance to HQ & local policies/guidelines.

Assists the Country Head in the consolidation of Monthly report.

Purchase and maintain office equipment and general items like stationery, papers, shredders, franking/binding/laminating machines, overhead projector, furniture, water dispensers, beverages, snacks etc.

Maintenance of office equipment and fixtures/facilities like shredders, franking/binding/laminating machines, overhead projector, furniture, water dispensers, water tank pumps, plants, aircon, ceiling boards, lights, carpets, doors etc

Sending to vendor for purchase of office supplies like name cards, letterheads, envelopes and liaising with relevant internal party/ies to ensure compliance with guidelines.

Manage telephone system (new line applications, allocation of existing lines, contact point for fault reporting, message on hold uploadings etc).

Work with the security companies to ensure appropriate service and safety standards.

Attend to requests of all security systems & devices

Retrieval of video footages as requested by Retail or Brand Managers.

Maintain proper records of all security layout plans, passcodes, key holdings

Custodian of keys (BM rooms, doors, cabinets, pedestals etc)

Generate biometric system reports upon requested by brand managers

Manage safety issues (maintain proper records of risk assessment and evaluation as required under the Workplace Safety & Health Act), e.g. Fire Safety drill as appointed by building, office safety

Ensure staff’s compliance of workplace safety procedures

Work with WSH consultants to renew company’s bizSAFE 3 status

Attend to landlords’ requests for Public & Products Liability Certificate of Insurance

Supervision of one Receptionist cum Admin Assistant

Ensure reception duties eg. phone calls, mail franking etc are managed efficiently
