Job Description

Role Summary I am looking for a highly reliable, detail-oriented Personal Assistant to support a busy insurance adviser. This role is best suited for someone who enjoys structure, follow-through, and supporting others behind the scenes, and who takes pride in keeping things organised, accurate, and on track.

This is not a sales role. It is a long-term support role focused on administration, coordination, and client service, helping ensure smooth daily operations and a positive client experience.

Key Responsibilities 1. Administrative & Operations Support

Organise and maintain accurate client records, trackers, and digital files

Prepare, check, and organise forms and documents before submission

Track outstanding documents and follow up consistently until completion

Ensure details (names, dates, contact information) are accurate and complete

2. Calendar & Scheduling Management

Manage and coordinate the adviser’s daily and weekly calendar

Schedule, confirm, and reschedule client appointments

Send appointment reminders and ensure meeting details are ready

Flag potential clashes, delays, or missing information early

3. Client Follow-Up & Coordination

Execute routine client follow-ups using approved templates (WhatsApp / email)

Assist with basic client servicing and claims documentation coordination

Track each client’s next action and follow-up date

Escalate urgent or sensitive matters promptly and responsibly

4. Reporting & Communication

Provide regular updates on completed tasks, pending items, and risks

Communicate clearly, professionally, and politely with clients and partners

Ensure no task or follow-up is missed or forgotten

5. Process & System Support

Follow established workflows, checklists, and standard procedures

Assist in refining templates, trackers, and simple admin processes

Maintain consistency and order in daily operations
