Role Overview
The Associate, Admin is responsible for managing day-to-day administrative operations across Indonesia offices, ensuring smooth office management, compliance with company SOPs, and efficient coordination of travel, procurement, documentation, and employee support. This role also supports employee engagement initiatives through REC Club involvement.
Key Responsibilities
Manage general administrative operations for Jakarta, Malang, and Surabaya offices.
Ensure office facilities, supplies, and utilities are properly maintained and operational.
Coordinate with building management and relevant external parties as needed.
Coordinate business travel arrangements in accordance with company SOP and travel policies, including flights, accommodation, transportation, and related logistics.
Source, coordinate, and maintain strong relationships with vendors (particularly with hotels, retails, transportation providers), for office needs and services, and manage procurement processes in line with company procedures.
Support meeting arrangements including scheduling, logistics, and documentation.
Work with HR in organizing employee engagement initiatives and internal events through M-DAQ REC Club involvement, including planning, vendor management, logistics, coordination, and communication.
Qualifications
Bachelor’s degree in any relevant field with 1–4 years of experience in Administration or a related role.
Fluent in English, both written and spoken (mandatory).
Experience in handling general administration and office operations across multiple locations.
Experience in travel coordination and logistics management in line with company policies.
Experience in vendor sourcing, vendor management and procurement processes, including negotiation and contract coordination.
Strong vendor relationship management, particularly with hotels, travel agents, transportation providers, and other operational vendors.
Proactive and able to take initiative.
Strong organizational and time management skills with good communication and coordination abilities.
High attention to detail and willingness to learn.
