This is a full-time, long-term remote opportunity.
About the Role
We are looking for a warm, tech-savvy, and highly organized Front Desk Coordinator to support a busy pediatric therapy clinic.
This role is heavily phone-based and requires someone with a naturally compassionate and professional communication style. You will be interacting daily with parents, helping schedule appointments, answering questions, and ensuring a smooth experience for families.
Beyond scheduling, you’ll also manage backend administrative tasks and occasionally provide extended coverage to support clinic operations.
This is a fast-paced position that requires emotional intelligence, efficiency, and confidence handling high call volume.
Work Schedule
Standard Schedule: 9 AM–5 PM or 10 AM–5 PM (Central Time)
Key Responsibilities
Answer high-volume inbound calls from parents
Schedule and reschedule therapy appointments
Guide parents through available time slots and clinic policies
Persuade families to accept alternative appointment times when needed to maximize clinic capacity
Manage daily administrative task lists
Support backend coordination and documentation
Handle escalated calls calmly and professionally
Maintain accurate records within internal systems
What We’re Looking For
1+ year of experience in a front desk, receptionist, or customer service role
Advanced English proficiency (spoken and written)
Strong verbal communication skills with a warm, compassionate tone
Highly organized and detail-oriented
Tech-savvy with strong Google Workspace skills (Docs, Sheets, Gmail)
Ability to quickly learn new systems (EMR platforms such as TherapyNotes or similar)
Professional under pressure and comfortable handling escalated calls
Highly Valued
Experience in healthcare, therapy clinics, or insurance
Sales experience (especially persuasive scheduling or service coordination)
Spanish proficiency
Experience managing high call volume
