Role Summary
We are seeking a high-performing Executive Operations Manager to act as the founder’s right hand. This is not a traditional assistant position — this person will take ownership of business operations, systems, administrative execution, HR coordination, and executive-level problem solving.
The ideal candidate anticipates needs, eliminates roadblocks, cuts through bureaucracy, and drives execution as a trusted extension of leadership.
Key Responsibilities
Executive Support (Strategic + Tactical)
•Manage executive calendar, email triage, and communications with discretion
•Draft professional documents, executive emails, and reports
•Anticipate needs and proactively solve issues with minimal direction
•Provide structured daily and weekly updates
Business Operations & Administration
•Create and optimize processes, workflows, and SOPs
•Manage vendors, contracts, and service agreements
•Implement and manage systems (CRM, Notion, Slack, Google Drive, or equivalents)
•Coordinate light finance tasks (invoicing, expense tracking, budgeting inputs)
•Own and drive special projects end-to-end
HR & People Operations
•Coordinate onboarding and offboarding
•Support payroll and benefits logistics
•Maintain policy documentation
•Schedule interviews and manage employee administrative tasks
Problem Solving & Execution
•Work directly with internal team members, vendors, and partners
•Clarify ambiguity and remove inefficiencies
•Execute tasks independently within scope
•Escalate major strategic decisions appropriately
Decision Authority & Boundaries
•Major decisions and sharing of sensitive company information require executive approval
•Candidate is empowered to make operational and administrative decisions independently within defined scope
Communication Expectations
•Daily communication via WhatsApp and calls
•Structured daily and weekly updates
•Must communicate clearly and proactively, even when direction is ambiguous

•Polished, corporate presence with strong executive maturity
•Prior experience in operations, business administration, or project management
•Thrives in fast-paced, high-expectation environments
•Proactive, decisive, and thinks multiple steps ahead
•Direct communicator who can respectfully push back
•Comfortable handling ambiguity and shifting priorities
•Highly discreet and trustworthy
