The program
Australia Awards Indonesia (AAI) is managed by Tetra Tech on behalf of the Department of Foreign Affairs and Trade (DFAT). Australia Awards is an integral part of Australia's development cooperation program with Indonesia and has enjoyed strong support from both governments for more than sixty years. Australia Awards addresses two key challenges: to fill a gap in the pool of individuals with the higher‑level capacity to contribute to Indonesia's development; and the need for a strong deep relationship based on mutual understanding between Australia and Indonesia.
The role
The Short Course Officer supports Australia Awards Indonesia to deliver high‑quality short courses that build individual and institutional capacity and strengthen Australia–Indonesia linkages. Reporting to the Short Course Manager, the role administers the full short course cycle from planning, participant selection, provider coordination, pre‑course, travel mobilisation to Australia, finances, visas and post‑course follow‑up. It maintains accurate records, supports monitoring and evaluation, liaises with providers and stakeholders, and assists outreach and communications. The Officer works across Linkages and Enrichment, Awards Administration and MEL teams to ensure compliant, efficient and impactful short course delivery.
Key responsibilities
Support end‑to‑end short course cycle: selection, logistics, pre‑course, mobilisation and post‑course follow‑up
Support participant selection processes: applications, interviews, communications and records
Coordinate travel, visas, insurance, advances, acquittals and vendor arrangements with Awards Administration
Maintain course records, partner contacts, contracts register and short course databases
Liaise with providers, MEL and Linkages and Enrichment teams for monitoring, evaluation and integration of outcomes
Support outreach, information sessions, stakeholder correspondence and short course inbox management
Selection criteria
Undergraduate degree in project management, business, international development or related field (or equivalent)
Experience in project management within international development, including planning and financial administration
Proven experience coordinating events, stakeholder consultations and participant mobilisation
Knowledge of GoI systems and familiarity with Australian higher education helpful
Strong MS Office skills, record‑keeping and basic M&E support capability
Excellent communication, relationship management, cultural sensitivity and ability to multitask under deadlines
