About the role
We are looking for a highly organized and trustworthy Document Custodian to manage the lifecycle of legal ownership documents for all auction assets. You will be responsible for the secure collection, safekeeping, and professional distribution of sensitive documents such as BPKB (Vehicle Ownership Books), STNK (Vehicle Registration), and Invoices. Your goal is to ensure 100% accuracy in document inventory and a seamless transition of ownership from the seller to the auction winner. This full‑time position is based in the heart of West Jakarta, Jakarta Raya, offering you the opportunity to contribute to the effective administration and management of the company's important documentation.
What you'll be doing
Document Intake & Verification:
Collect and verify the authenticity and completeness of legal documents (BPKB, STNK, Kir, Faktur, etc.) from asset owners/vendors upon onboarding.
Secure Inventory Management:
Categorize and store all physical documents in a secure, organized filing system (Vault/Safe) to prevent loss or damage.
Database Maintenance:
Maintain an accurate digital record of all documents held in custody, including their status (Available, In-Process, or Released).
Document Retrieval & Processing:
Coordinate with asset owners to ensure all necessary signatures and transfer documents (Kwitansi Kosong, Power of Attorney) are ready when the asset is sold.
Distribution to Winners:
Manage the handover process of legal documents to auction winners once payment is verified, ensuring all release forms are signed and archived.
Shipping & Tracking:
Oversee the secure delivery of documents via specialized couriers for winners or vendors located outside the main office area.
Collaborating with departments to improve document management processes.
Performing regular audits and inventory checks to maintain the integrity of the record‑keeping system.
What we’re looking for
Education:
Bachelor’s Degree (S1), preferably in Law, Administration, or Library Science.
Experience:
1–3 years of experience in Document Control, Credit Admin, or Notary Assistant roles. Experience in a Bank, Leasing company (Multifinance), or Showroom is a significant advantage.
Attention to Detail:
Meticulous eye for detail to spot discrepancies in chassis numbers, engine numbers, or expiry dates on legal documents.
Integrity:
Undisputed honesty and a clean professional record, as you will be handling high‑value legal instruments.
Organizational Skills:
Ability to manage thousands of documents systematically and retrieve any file within minutes.
Communication:
Professional communication skills to coordinate with both corporate asset owners and individual auction winners.
Proficiency in using office software, including databases and document management systems.
Familiarity with record‑keeping regulations and best practices.
