About the Role
Join our US client on their mission to streamline scheduling operations and optimize appointment flow. We are looking for a
Schedule Strategy Representative
to join their highly organized and fast-paced operations team.
This role plays a critical part in maintaining calendar efficiency, ensuring proper appointment routing, and proactively resolving scheduling conflicts before they impact service delivery. You will work closely with operations, confirmation teams, and leadership to protect routing efficiency, maximize coverage, and maintain clean and accurate scheduling systems.
This is an ideal opportunity for someone who thrives in structured environments, is highly detail-oriented, and can react quickly to time-sensitive changes.
Note: This is a remote, contractor role.
Schedule:
Tuesday–Saturday, 11:00 AM – 7:00 PM CT.
Key Responsibilities
Operations Support
Monitor daily appointment flow to ensure proper placement and routing.
Identify coverage gaps or overlaps and proactively resolve them.
Flag scheduling conflicts immediately to prevent operational disruptions.
Scheduling Execution
Book and reschedule appointments accurately and efficiently.
Balance calendars by region and closer availability.
Protect drive times and routing efficiency.
Prevent over-stacking or under-stacking of appointments.
Calendar Management
Maintain a clean, accurate daily view of all active appointments.
Ensure appointment notes are complete and visible to all relevant teams.
Remove duplicate or incorrect calendar entries.
Confirm appointment time windows are accurate and properly reflected.
Time-Sensitive Coverage
Monitor same-day and next-day scheduling changes.
React quickly to cancellations and reschedules.
Fill open time slots promptly to maintain productivity.
Escalate urgent issues to leadership when necessary.
Administrative & CRM Management
Update CRM fields accurately and consistently.
Track and document reschedule reasons.
Maintain organized scheduling logs.
Support the confirmation team by ensuring calendar accuracy.
Documentation & Reporting
Log daily scheduling adjustments.
Track no-shows and reschedules by source.
Identify recurring scheduling patterns.
Provide weekly coverage and scheduling performance reports.
What We’re Looking For
Proven experience in scheduling, operations coordination, or calendar management roles.
Experience using Salesforce (strongly preferred) or similar scheduling/CRM software.
Exceptional organizational and time-management skills.
Highly detail-oriented with strong accuracy standards.
Ability to identify patterns and proactively solve problems.
Strong communication skills and ability to collaborate cross-functionally.
Ability to work independently in a fast-paced, deadline-driven environment.
Proficient English level (written and spoken).
