Role Purpose
The Accounting & Operations Specialist is responsible for ensuring that operational transactions processed within the ERP system are accurately, consistently, and timely reflected in the companyโs financial records and management reports. The role sits at the intersection of accounting and operations, supporting inventory control, sales and purchasing processes, financial postings, and internal reporting. This position plays a critical role in maintaining financial integrity, operational efficiency, and audit readiness across the organisation.
Key Responsibilities
ERP Transaction Management
Process and monitor transactions within the ERP system, including inventory movements and adjustments, sales orders and delivery documentation, purchase orders, goods receipts, and supplier invoices.
Ensure transactions are recorded in accordance with approved procedures and system rules.
Inventory & Cost Control
Maintain accurate inventory records and stock balances in the ERP system.
Support inventory valuation, cost of goods sold (COGS) accuracy, and stock reconciliations.
Coordinate periodic stock counts and investigate variances.
Accounting & Financial Accuracy
Ensure correct accounting postings from operational modules to the general ledger.
Support accounts receivable and accounts payable processing within ERP.
Assist with monthly and period-end closing activities, including cut-off and reconciliation support.
Maintain alignment between sub-ledgers and the general ledger.
Reporting & Analysis Support
Prepare operational and financial reports from ERP data, including inventory reports, sales and purchasing summaries, cost and margin reports.
Support management reporting and data requests with accurate, system-based information.
Controls, Compliance & Audit Support
Apply internal control procedures related to transaction processing and data accuracy.
Support internal and external audits by providing system records, reports, and documentation.
Assist in identifying process gaps, system issues, or control weaknesses.
Cross-Functional Coordination
Coordinate with Sales, Purchasing, Warehouse, and Finance teams to resolve transaction issues.
Support system-related process improvements and ERP best practices.
Act as a liaison between operational users and finance for ERP-related matters.
Required Qualifications & Skills
Education & Experience
Bachelorโs degree in Accounting, Finance, Business Administration, or related field.
2โ4 years experience in accounting operations, ERP usage, or finance-related roles.
Technical Skills
Handsโon experience with ERP systems (inventory, sales, purchasing, and accounting modules).
Understanding of basic accounting principles and financial controls.
Proficiency in spreadsheets and reporting tools.
Strong attention to detail and data accuracy.
