Job Title: Finance Administrator

Location: Jakarta, hybrid

Contract Type: Permanent, full-time

Reporting to: Finance Manager

Purpose of the Role The Finance Administrator is an entry-level role that provides accurate, timely, and reliable administrative and financial support to the Finance team. This position plays an important part in assisting with day‑to‑day finance processes, maintaining accurate records, and ensuring routine tasks are completed efficiently and to a high standard. By supporting core finance operations, the role helps the team maintain effective financial control and supports informed decision‑making across the business.

The successful candidate will contribute by taking ownership of routine finance administration, supporting small projects, and identifying issues early with clear, practical solutions. They will thrive by being organised, detail‑oriented, proactive, and willing to learn under the guidance of the Finance Manager. The ideal candidate will demonstrate a high level of integrity, professionalism, and confidentiality when handling financial information and sensitive company data. Success in this role will be measured by the quality and timeliness of their work, their willingness to take responsibility, and their ability to contribute positively to team goals and continuous improvement.

Key Responsibilities

Reporting to the Finance Manager and providing day‑to‑day administrative and financial support to the finance function.

Maintain a high level of integrity, professionalism, and confidentiality in handling financial information and sensitive company data.

Process accounts payable and accounts receivable activities, including purchase order creation, vendor payment processing, invoice recording, customer billing, and collection follow‑up, in accordance with internal finance procedures.

Proactively monitor payment schedules and track due dates for all payment requests across the UAE and Indonesia entities, ensuring timely processing and submission in line with internal controls and payment terms.

Support general ledger activities, including journal entries and transaction reconciliation.

Assist the Finance Manager in processing payroll for the UAE and Indonesia entities of the agency, ensuring accuracy, timeliness, and compliance with internal policies and local requirements.

Handle BPJS Health and BPJS Manpower administration, including employee registration, data updates, contribution calculations, and timely monthly payment processing.

Handle Coretax administration under the guidance of the Finance Manager, including data entry, verification, and maintenance of tax‑related information to ensure accurate reporting and compliance with applicable regulations.

Maintain accurate financial records and ensure all transactions are recorded properly in the accounting system (Xero).

Perform regular bank reconciliations to ensure consistency between bank statements and internal financial records.

Maintain a high level of accuracy and attention to detail when processing and reviewing financial information.

Assist Finance Manager in preparing monthly financial reports and supporting ad‑hoc tasks as needed.

Qualifications

Bachelor's degree in Finance or Accounting.

Foundational understanding of core finance processes, including accounts payable, accounts receivable, purchase orders, invoice processing, customer billing, collections, journal entries, and bank reconciliations.

Clear and professional communication skills in English, with the ability to communicate effectively in writing and verbally, follow instructions, raise issues early, and work collaboratively with the Finance Manager and other stakeholders.

High level of integrity, professionalism, and confidentiality when handling financial information, payroll data, employee records, and other sensitive company information.

Experience or demonstrated ability to maintain accurate financial records and process routine finance transactions with a high level of accuracy and attention to detail.

Working knowledge of accounting systems and spreadsheets. Experience with Xero would be advantageous.

Ability to support general ledger activities, including transaction recording, reconciliations, and maintaining complete and organised supporting documentation.

Exposure to payroll administration, BPJS Health, BPJS Manpower, or Coretax processes would be preferred.

Ability to follow internal procedures, finance controls, and statutory requirements carefully and consistently, with an understanding of the importance of compliance in finance operations.

Strong organisational and time management skills, with the ability to manage multiple recurring deadlines across payments, payroll support, reconciliations, reporting, and administrative tasks.

Proactive and reliable approach to work, with a willingness to learn, take ownership of routine responsibilities, and contribute positively to the wider Finance function.
