About this Position
The Incoming Specialist is responsible for controlling and ensuring the quality, accuracy, and compliance of all incoming materials entering the warehouse. This role ensures proper inspection, documentation, safety adherence, and coordination with cross-functional teams to maintain high material handling standards and support overall warehouse operations.
What You´ll Do
Incoming Material Inspection & Verification
Perform incoming inspection for all materials, including visual checks, quantity verification, COA review, batch confirmation, labeling, and packaging condition.
Verify all received materials against Purchase Orders, SAP data, and applicable quality and safety requirements.
Record and control all incoming material information in SAP or internal systems (GR creation, stock updates, batch assignment).
Non-Conforming Material Management
Identify non-conforming materials (NCM) and ensure timely escalation.
Coordinate with QC, Procurement, and the Warehouse Manager to resolve discrepancies or issues.
Ensure proper segregation and documentation of NCMs.
Documentation & System Handling
Create, maintain, and file incoming documents such as delivery notes, COA, inspection reports, and GR records.
Ensure documentation accuracy and compliance with internal and external audit requirements.
Safety & Chemical Handling
Ensure proper handling of chemicals and compliance with PPE and safety rules.
Follow and enforce all warehouse safety procedures to maintain a safe working environment.
Inventory Support
Support cycle counts and stock checks related to incoming materials to ensure inventory accuracy.
Monitor warehouse space utilization and promptly report any capacity or storage concerns.
Continuous Improvement
Demonstrate a strong kaizen mindset and actively contribute to process improvements and operational excellence initiatives.
What makes you a good fit
Bachelor’s degree in Chemistry, Chemical Engineering, Materials Science, Supply Chain Management, Logistics or related field
Fresh graduates or candidates with up to 2 years of relevant experience are welcome
Basic knowledge of inbound logistics, import documentation, and customs clearance processes.
Understanding of inventory management and warehouse operations.
Good communication skills for coordinating with production and quality teams
Ability to lead a team and coordinate tasks effectively
English language proficiency (written and spoken) for documentation and communication
Good to have: Experience with SAP for inventory or production processes
Good to have: Green Belt Six Sigma certification for process improvement knowledge
