Position Summary
Responsible for managing the end-to-end contract lifecycle for security-related services, ensuring regulatory compliance, governance, cost control, and operational effectiveness. The role oversees procurement coordination, contract drafting, performance monitoring, audit support, and stakeholder engagement to safeguard the Company’s contractual interests and service standards.
Key Accountabilities
Prepare and submit Request for Tender/Proposal (RFT/RFP) documentation and Management Papers to obtain internal approvals for security service proposals.
Coordinate with Group Procurement throughout the tender process to ensure transparency, governance, and compliance with procurement policies.
Identify and evaluate potential security service providers in collaboration with Procurement.
Conduct and document technical evaluations of service providers based on operational requirements, regulatory standards, and Company policies.
Provide recommendations to management based on technical and commercial assessment findings.
Liaise with the Legal Department on drafting, reviewing, and finalizing contractual agreements, including SGHA, SLA, and related service agreements.
Ensure contractual clauses adequately address compliance, performance standards, liabilities, penalties, and risk mitigation.
Manage contract negotiations in coordination with relevant stakeholders.
Prepare and consolidate annual budget forecasts for security-related contracts and services.
Work closely with Finance and Procurement to align budget projections with contract values, market benchmarks, and operational requirements.
Manage contract execution processes, including DocuSign or equivalent digital signature platforms.
Maintain a structured and centralized contract repository to ensure proper documentation control.
Track contract expiry dates, renewal timelines, and amendment requirements to ensure timely action.
Coordinate the preparation and issuance of Letters of Award (LOA) and Letters of Intent (LOI) for selected providers.
Ensure timely renewals, variations, and escalations prior to contract expiry to prevent service disruption.
Monitor Service Level Agreements (SLAs) and key performance indicators (KPIs) to ensure contractual compliance.
Coordinate follow-ups on non-performance, contractual breaches, or penalty impositions.
Support internal and external audits by providing accurate contract documentation and compliance reports.
Develop and present regular dashboards and management reports on contract status, risk exposure, renewal pipelines, and performance metrics
Act as the primary point of contact for external service providers on contract-related matters
Liaise closely with internal stakeholders, including Security Operations, Procurement, Legal, and Finance to ensure smooth contract execution and governance
Qualifications
Bachelor’s Degree in Business Administration, Law, Finance, Procurement, Aviation Management, or a related discipline
Professional certification in Procurement, Contract Management, or Compliance is an added advantage
2 – 4 years of experience
Areas of Experience
Proficient in document control systems (e.g., DocuSign, SharePoint, or equivalent).
Experience in contract or procurement coordination, preferably in aviation or security environment
Experience in SGHA/SLA agreements, aviation compliance, or technical security evaluation
