Job Description

Prepare, draft, and document minutes of meetings (Monthly Meeting & Annual Meeting).

Coordinate and support the preparation of company events and corporate activities (gatherings, annual events, etc.).

Manage and remind the Board of Directors (BOD) of their meeting agendas (weekly meetings, monthly meetings, including recurring meetings such as Weekly AWP every Thursday).

Prepare internal memos as instructed by the Director of Operations.

Compile and monitor the monthly expense claims of the Director of Operations.

Record all documents electronically signed by the Director of Operations and prepare a monthly report summary.

Request and compile agreement/contract data from the SCM team for reporting to the Director of Operations (e.g., house rental, vehicle/LV rental, etc.).

Record and process incoming sponsorship proposals, submit them to the Director of Operations for approval, and proceed with the Material Request (MR) process if approved.

Organize and coordinate meetings with company guests, including:

Collecting meeting details (guest name, company, position, purpose of meeting, date & time, contact number, email).

Booking meeting rooms according to schedule.

Ensuring availability of safety shoes and helmets for guests (if required).

Preparing company mementos/souvenirs for selected guests (with management approval).

Preparing company profile and product brochures.

Ensuring all meeting equipment is available and functioning properly.

Requirement:

Bachelor's degree of Secretary, Commucation.

Minimum 3 years experience as a corporate secretary, administrative assistant.

Proficiency in Ms. Office (Word, Excell, PPT, Outlook) and other relevant software applications.

Fluent in English, both verbal and written.

Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.

Able to communicate well, have a positive attitude, honest, open-minded, motivated
